Referring a conveyancer to a contact

Within Alto, you can directly refer your contact(s) to a vetted panel of Alto approved conveyancers, and earn commission on every successful referral. 

Alternatively, you can open a case with a conveyancer in situations where your contact(s) get in touch with you.

Either way, you have the choice to view our full list of conveyancers from Alto's vetted approved panel, or, you can set up your own preferred panel of conveyancers consisting of a selection of those that are currently on that approved panel.

What are the benefits of referring to Alto approved conveyancers 

Finding the perfect conveyancer can be a daunting and time-consuming task, often leaving you feeling frustrated when expectations aren't met. That's why we've meticulously curated a panel of pre-vetted conveyancers, ensuring that both you and your customers enjoy a smoother and more satisfying experience.

To save time (47 days on average from offer to completion) and help streamline the process, you can make conveyancer referrals from directly within Alto, and the conveyancers will receive all the detail they need to work with the contact(s).

By doing so, you're also able to generate extra revenue and earn commission. For both buyers and vendors, there's the opportunity to earn up to £800 per transaction on completion (based on a £200 referral fee, for the purchase and sale of both the vendor’s and the buyers properties).

Setting up your payment and invoicing details for referrals

For each branch that will be making referrals, as a prerequisite you must enter your branch details and preferred bank account details into Alto. This is for the sake of receiving referral payments from conveyancers (or Just Move In).

  1. (If you're a Group Administrator), click your name in the top right corner
  2. Click Account settings
  3. Within the Payment details tab, enter your Branch details and Bank account details
  4. Click Save account details

 Note

  • Your referral fees are processed twice a month (on the 15th and the last day of the month), and you'll receive a self-billing invoice via the email you entered (as part of your Branch details), confirming the amount you're due. Your payment will be received within 60 days.
    If you aren't due any referral fees within the billing period, you won't receive a self-billing invoice
  • Your self-billing invoice will combine the referral fees of different partners. However, this doesn't include all partners as some will pay you directly

How to refer a conveyancer 


There are two ways you can refer the contact(s) to our partnered conveyancers; either from a contact record, or, from a property record.

Referring via a contact record

To make a referral:

  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Contact on the side menu
  4. In the Address section, click Refer a solicitor

  5. You'll be asked what the contact needs a conveyancer for, either to Sell, Buy or Sell and buy a property
    1. If they're interested in selling, select the address of the property they're selling - you can always Edit the Price if there's been a renegotiation (from the original listing price to a new agreed price).
      Alternatively, if it's a non-appraised property, you can get quotes to take to market appraisals. If you know the number of owners and tenure, you can Add an estimated price.
      Then, click the appropriate options for the property they're selling.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue

    2. If they're interested in buying, the Property address fields will pull through from the contact or property record. Should this be incorrect, you can Fill in the property details.
      You can then click the appropriate options for the property they're buying.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue

    3. If they're interested in selling and buying, first, select the address of the property they're selling - you can always Edit the Price if there's been a renegotiation (from the original listing price to a new agreed price).
      Alternatively, if it's a non-appraised property, you can get quotes to take to market appraisals. If you know the number of owners and tenure, you can Add an estimated price.
      Then, click the appropriate options.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue to property to buy.

      For the property they're interested in buying, the Property address fields will pull through from the contact or property record. Should this be incorrect, you can Fill in the property details.
      Then, click the appropriate options.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue to quotes
  6. Alongside the Property details, you'll be presented with a list of Alto approved (and recommended) conveyancers along with their quoted prices. You can view their Trustpilot reviews, and View a quote breakdown to understand their estimated costs that make up the quote, as well as their contact details - (the costs may vary depending on the level of service offered).
    Click Select on the conveyancer(s) you'd like to refer to, then click Refer to conveyancer

  7. A confirmation message appears that your referral(s) have been sent.
    An email will be sent to the conveyancer(s) with the seller/buyer details and they will get in touch with the contact(s) directly. You will also receive an email from our Panel Manager confirming the details.

    The contact(s) will also receive an email with a breakdown of the quote(s), which also contains an instruction link. Should they have multiple quotes and they've decided who they want to instruct, they can click the instruction link and fill out a quick Conveyancer instruction form to get the ball rolling.

    Once instructed, the conveyancer will assign a dedicated case handler. This ensures that details automatically flow through to Alto and update the relevant record, so you'll know when to complete the memorandum of sale and keep things moving forward quickly. An email notification will also be sent to the referring party including all the details.

With the referral now handed over to the potential conveyancer(s), the sale now appears in the NEW Sales progressions dashboard in Alto, where you can monitor the progress of this with our automated milestones.

Referring via a property record

To make a referral, you must navigate to the New Offer/Offer Details window:

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. On the property Overview, click Offers
  4. Click the blue Offer link on the offer in the timeline that has been accepted
  5. The Offer Details window opens. Below the Applicant Solicitor/Vendor Solicitor dropdown menu, click Refer a Solicitor next to the appropriate applicant or vendor fieldRefer a solicitor.png
  6. You'll be asked what the contact needs a conveyancer for, either to Sell, Buy or Sell and buy a property

How to retrieve previous conveyancer referral quotes

If you generate quotes for your contact(s) and send referrals to conveyancers, you can easily revisit those quotes from the contacts Timeline and view the details again. This will be handy should you want to:

  • Confirm which conveyancer(s) were already referred for a contact/property so that you can verify you have the correct information
  • Revisit the quote/costs associated with previously sent referrals so that you can answer questions your contact(s)/staff may have
  • Refer a new/different conveyancer for a contact/property which you've already created quotes for, without having to restart the process

To view referral details and retrieve previous conveyancer quotes:

  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Either, click Overview on the side menu and view the Recent Activity section, or, click Timeline on the side menu

    1. You can view the delivery status of the referral (i.e. was it successfully sent, has it been opened and viewed by the conveyancer) and all the information that was sent to the conveyancer(s) if you click the relevant option for View referral details

    2. To retrieve the previous quote(s), click View quote.
      Here, you can click to view each quotes breakdown.
      For any of the conveyancers you've sent a referral to, you'll have an icon stating Referral sent
      If you'd like to refer a different conveyancer which you have a quote for, click Select on the conveyancer(s) you'd like to refer to, then click Send referral

  • How will we ensure communication is where it needs to be?

Our dedicated Panel Manager is in daily communication with panel members regarding referrals. Once a referral has been received, we ask the conveyancer to let us know if this has been received and the status of it. In addition to chasing, referral reports are sent out and updated daily, with the updates relayed back to you.

  • Will the fee appear on the contacts bill?

No, this fee is paid directly from Alto so your contact will not be billed the agent fee.

  • How do searches work?

Our searches provider is Move Reports. Our conveyancers are contractually obligated to order searches at the point of instruction. Move Reports have confirmed that searches can take up to 10 days to complete. Upon receiving the search pack, conveyancers are to do their best to raise any questions they may have within 3 business days to ensure that the transaction continues to progress as smoothly as possible.

  • The buyers and sellers in my area tend to only use local conveyancers. Do your conveyancers cover nationwide?

Yes, our panel members have been selected as they can deal with all contacts from a national perspective. The only exception to this is Strefford Tulips and Mov8, who cover Scotland only.
