Opening a case with a conveyancer

Within Alto, in addition to directly referring your contact(s) to one of our partnered conveyancers, you can also open cases on behalf of them.

You may look to do this in situations where your contact(s) get in touch with you (off the back of receiving their email with a breakdown of their quotes), informing you of the conveyancer they want to choose and proceed with.

Setting up your payment details for referrals

As a prerequisite, you can enter your preferred bank account details into Alto for the sake of these referral payments from conveyancers (or Just Move In).

  1. (If you're a Group Administrator), click your name in the top right corner
  2. Click Account settings 
  3. Within the Payment details tab, enter your Bank account details
  4. Click Save account details

 Note

  • Your referral fees are processed at the end of each month. You will then receive an invoice confirming the amount you are due on the first day of the following month. Your payment will be received within 60 days.
    If you are not due any referral fees within the billing period, you will not be receiving an invoice

  • You will get one invoice that combines the referral fees of different partners. However, this does not include all partners as some will pay you directly

How to open a case with a conveyancer 

If you want to open a case and haven't previously sent a referral
  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1.  Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Contact on the side menu
  4. In the Address section, click Refer a solicitor

  5. You'll be asked what the contact needs a conveyancer for, either to Sell, Buy or Sell and buy a property
    1. If they're interested in selling, select the address of the property they're selling - you can always Edit the Price if there's been a renegotiation (from the original listing price to a new agreed price).
      Alternatively, if it's a non-appraised property, you can get quotes to take to market appraisals. If you know the number of owners and tenure, you can Add an estimated price.
      Then, click the appropriate options for the property they're selling.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue

    2. If they're interested in buying, the Property address fields will pull through from the contact or property record. Should this be incorrect, you can Fill in the property details.
      You can then click the appropriate options for the property they're buying.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue

    3. If they're interested in selling and buying, first, select the address of the property they're selling - you can always Edit the Price if there's been a renegotiation (from the original listing price to a new agreed price).

      Then, click the appropriate options.
      Next, select if any Special requirements apply to the property in order to create accurate quotes that are tailored to your contacts specific needs.
      Once all information is captured, click Continue to quotes
  6. Alongside the Property details, you'll be presented with a list of Alto approved (and recommended) conveyancers along with their quoted prices. You can view their Trustpilot reviews, and View a quote breakdown to understand their estimated costs that make up the quote, as well as their contact details - (the costs may vary depending on the level of service offered).
    Click Open case on the conveyancer(s) with which your contact(s) wishes to choose and proceed with

  7. Review the details here as Alto will use these details to open a case in the conveyancer’s CMS (Case Management System).
    Add any notes for the conveyancer in the Anything else field - for example, the reason for the sale may be sensitive (i.e. a divorce), so you may wish to communicate this so the conveyancer can create a considerate experience.
    Then, tick to confirm you have consent and click Open case

  8. A reminder message appears asking Are you sure you want to open this case. Click Open case to submit the case
  9. A confirmation message appears confirming a case has been opened and sent to the conveyancer. This will be reflected in the Case details

The conveyancer(s) will get in touch with the contact(s) directly.

Once instructed, the conveyancer will assign a dedicated case handler. This ensures that details automatically flow through to Alto and update the relevant record, so you'll know when to complete the memorandum of sale and keep things moving forward quickly. An email notification will also be sent to the referring party including all the details.


With the referral now handed over to the conveyancer(s), the sale now appears in the new Sales progressions (beta) dashboard in Alto, where you can monitor the progress of this with our automated milestones.

To stay on top of things, you can keep track of all of your referrals with the Referrals dashboard

If you've already sent a referral and now want to open a case or instruct
  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1.  Alternatively, find the contact using the Search Contacts bar in the top right
  3. Either, click Overview on the side menu and view the Recent Activity section, or, click Timeline on the side menu
  4. Click View referral details alongside the timeline entry associated to the previously sent referral

  5. The previous quotes and pending referrals display. For any of the conveyancers you've sent a referral to, you'll have an icon stating Referral sent.
    Click Open case on the conveyancer(s) with which your contact(s) wishes to choose and proceed with

  6. Review the details here as Alto will use these details to open a case in the conveyancer’s CMS (Case Management System).

Viewing conveyancer cases 

You can easily revisit any cases you open with conveyancers from the contacts Timeline in order to view the details again.

  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1.  Alternatively, find the contact using the Search Contacts bar in the top right
  3. Either, click Overview on the side menu and view the Recent Activity section, or, click Timeline on the side menu
  4. Click View case
