Adding public liability insurance to a supplier

When you add a new supplier, it's important you complete as much detail as possible, including recording the suppliers public liability insurance details.

Your suppliers public liability document can be uploaded onto the individual supplier and a date reminder set, to follow up from the Property Management Dashboard

Upload a public liability document

  1. Click Contacts on the main toolbar
  2. Select the relevant contact (Supplier) from Recent & Favourite Contacts
    1.  Alternatively, find the contact (Supplier) using the Search Contacts bar in the top right
  3. Click Documents on the side menu
  4. Click Upload Documents
  5. Click Add Files and select the document(s) saved on your computer or network
  6. Click Start Upload
  7. Click Save

Add a public liability date reminder

  1. Click Contacts on the main toolbar
  2. Select the relevant contact (Supplier) from Recent & Favourite Contacts
    1.  Alternatively, find the contact (Supplier) using the Search Contacts bar in the top right
  3. Click Management on the side menu
  4. Click the Dates top tab
    1. Next Due Date - This identifies the date which the event is due to expire
    2. Event Type - Public Liability Insurance
    3. Progress - This should be left as Pending
    4. Recurring - When you update an entry, the settings will forward the new date by 12 months
    5. Critical - When the Next Due Date isn't added, a red flag will appear every time on the record
    6. Reminder days in advance - 14 days prior to the expiry of the public liability insurance, a reminder will appear on the Property Management Dashboard for you to obtain the suppliers renewed policy
  5. Click Public Liability Insurance
  6. The Manage Date window opens. In the Due Date field, add the date of when the insurance will expire
  7. Click Update

 Note

  • If a contractors public liability insurance has expired or hasn't been added to the supplier record, upon creating a works order, a warning notification will appear. You have the option to continue with the works order or select another contractor 
  • Reminder days in advance can be adjusted in your system settings. You will need access to System Administration, to edit your default settings. Your appointed Group Administrator will have access to these permissions
