Creating a group of contacts

Alto allows you to create a listed group of Contacts which meet a specific criteria.

 Note

Groups created from the Contacts section can't be seen by the entire branch or agency. They will only be visible to the user who created them

To create a group of contacts:

  1. Click Contacts on the main toolbar
  2. Click Groups in the top left
  3. Click the + symbol alongside My Groups, to create a new match group
  4. The New Match Group window opens. In the Group section, enter a Name for the group
  5. Tick the required criteria across all the sections and tabs
    1. Click View Results to create a temporary group, which will allow you to refine the list before saving
  6. Click Save
    1. You can edit the group once you've saved it. Click Edit below the group name on the side menu

Expanding the information shown on Contacts groups

When viewing lists of Contacts on the Groups screen, it's possible to display expanded information on individual contacts. To do this, click on the magnifying glass alongside the contact Name. This will show their Position, Disposal status, Last Contacted date and summary of requirement profiles.

If you click on the + beside the magnifying glass in the header, all the contact records in the list will expand.

To collapse the records, click the - beside the magnifying glass in the header, or the magnifying glass for an individual contact.

Groups created from the Tools section can be seen by the entire branch or agency. They can be set to be visible to whichever user group you need to see them

To create a (match) group of contacts from Tools:

  1. Click Tools on the main toolbar
  2. On the side menu, under System Tools, click Match Groups
  3. Click Actions
  4. Click Add Contact Group
  5. The New Match Group window opens. In the Group section, enter a Name for the group
  6. Tick the required criteria across all the sections and tabs
  7. Click Save
    1. You can edit the group once you've saved it. Click Contacts on the main toolbar, click Groups in the top left, your match group will be in Shared Groups. Click the group in the list and the Edit Match Group window opens

To delete a (match) group:

  1. Click Tools on the main toolbar
  2. On the side menu, under System Tools, click Match Groups
  3. Tick the box(es) at the start of the (match) group rows that you wish to delete
  4. Click Actions
  5. Click Delete Group(s)
  6. A message appears stating Are you sure you want to delete this group?. Click Yes
