Any holding deposit money can be receipted as Held Money on a proposed tenancy. As time progresses, you may then choose to use this money against an outstanding charge or refund the money back to the applicant if required.
Note
Under the Tenant Fee Ban 2019, you cannot ask a tenant for a holding deposit which is more than one week of the total rent for that property

Receipting a holding deposit
Warning
Before you receipt holding deposit money on a tenancy, ensure all associated tenants are added to the tenancy, as this won't be possible after monies have been receipted
- Click Tenancies on the main toolbar
- Select the relevant tenancy from Recent & Favourite Tenancies
- Alternatively, find the tenancy using the Search Tenancies bar in the top right
- Click Actions
- Within the dropdown menu, click Receipt
- The Receipt from this tenancy window opens
- Receipt Date - You can edit the date on which payment was received
- Receipt Type - You can change this to the correct payment method from the dropdown menu
- Bank Reference - If someone outside of the tenancy has made the payment, add their name
- Receive into Bank Account - You can edit the bank account using the dropdown menu, if required
- Amount Received - Enter the total amount you received for the holding deposit
- Send Receipt - You can tick this if you want a copy sent to your tenant(s) by their preferred delivery type. When this is selected, you can click Preview
- Click Update
- A Monies Held box will appear
- You have the option to edit Held Monies with a description of your choice (if required)
- Click Yes
A record of the receipt is made available to view in the tenancy, available from within the Timeline on the side menu. It's also recorded from within Transactions on the side menu.
The next time you click Actions and then Receipt, you'll see the total Monies Held for that tenancy and an option to Use Held against any raised charges.
Removing a holding deposit receipt
- Click Tenancies on the main toolbar
- Select the relevant tenancy from Recent & Favourite Tenancies
- Alternatively, find the tenancy using the Search Tenancies bar in the top right
- Ensure the correct tenancy has been selected and click Transactions on the side menu
- Locate the receipt entry and click ... (Actions) at the end of the line
- Click Yes to raise a credit of the receipt
- A credit entry will appear with the current date
