Managing eSign documents from the home screen

All eSign documents sent via your Alto software can be managed from both the eSignatures Main Dashboard widget and eSignatures on the Home screen side menuAll activity is itemised to help you manage and track the status of every document sent for electronic signature, and if an eSignature has been completed or needs to be resent.

eSignatures Main Dashboard widget

The Main Dashboard includes an eSignatures widget which is split into two parts.

  1. Click the Home screen tab on the main toolbar
  2. Click Main Dashboard on the Home screen side menu
  3. Click the Branch and Negotiator dropdown menus to change your view
  4. Scroll down to the eSignatures widget
    1. Awaiting Signature - Displays as a donut chart offering a breakdown, in 7-day intervals, of how many documents are awaiting signature. Hover over each section of the chart to view the total number and percentage of each status awaiting signature
    2. Signing Requests by Status - This displays each status and their respective amount; Awaiting Signature, Completed, Voided and Expired. Click the Period button and use the dropdown menu to adjust the time period for the various view statistics. They include:
      • Sent In The Past 24 Hours
      • Sent In The Past 48 Hours
      • Sent In The Past Week
      • Sent In The Past Month
      • Sent In The Past 3 Months

By clicking anywhere on the eSignatures donut chart or on a status, you will be directed to the eSignatures page on the home screen side menu.

 Note

When you hover over the title of the eSignatures widget, a four headed arrow appears. This indicates you can drag and drop the widget to your preferred location on the Main Dashboard

You can also manage the status of your eSign documents from eSignatures on the Home screen side menu.

  1. Click the Home screen tab on the main toolbar
  2. Click eSignatures on the Home screen side menu
  3. Click the Branch and Negotiator dropdown menus to change your view
  4. Click the Period button and use the dropdown menu to adjust the time period for the various view statistics. They include:
    • Sent In The Past 24 Hours
    • Sent In The Past 48 Hours
    • Sent In The Past Week
    • Sent In The Past Month
    • Sent In The Past 3 Months
  5. The eSignature Stats ..... section displays statistics for your chosen period
  6. In the Awaiting Signature Signing Requests ..... section, you can view:
    1. Sent - Click on a record to display, in the right column, the recipients who were sent a document for electronic signing and their current signing status 
    2. Document - Displays the title of the document sent for eSigning
    3. Property - Displays the corresponding property which relates to the eSign document
    4. Follow-up Actions - You can
      • View Audit Trail
      • Resend All (Resend to all unsigned recipients)
      • Void Document 
    5. Signatories - Displays the recipients who were sent the document 
    6. Recipient Type - The current status type of the recipients i.e. Landlord, Tenant, Vendor 
    7. StatusIndicates the current signing status of each recipient 
    8. Date Signed - Displays the date and time the individual recipient completed their eSignature
    9. Follow-up Actions - You can
      • Add Phone Note - Records a note on the Timeline of the Contact record
      • Send Email - Records an email and its contents on the Timeline of the Contact record 
      • Send an SMS - Records an SMS and its contents on the Timeline of the Contact record
      • Add a ToDo - Creates a task for you to manage on the Main Dashboard for the recipient
      • Resend - The document is resent to the recipient
