Through PropertyFile, your website administrator can add a widget button to your website which will enable customers to request a market appraisal of their property.

When a client has made an enquiry via your website using this widget, the enquiry will display on your Alto dashboard where you can then turn the request into a Diary appointment.

Configuring your email notifications

You can choose to receive an email notification every time a new appraisal request is made. Notifications can be sent to your default branch email address, or, you can set a custom email address for them to go to.

To set your notification preferences:

  1. Within Alto, click Tools on the main toolbar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click PropertyFile
  4. On Alto PropertyFile Administration, click the Pencil alongside your Domain
  5. The PropertyFile Dashboard will open. Click Notification Settings on the side menu
  6. A list of notification types will display. For each one, you can choose to select the Branch Default and/or a Custom address as the recipient
    1. Branch Default means that the email address listed in Alto for the relevant branch will receive notifications of this type
    2. Custom opens a box that enables you to enter an alternative email address to receive notifications. This will be used for all branches.
      (You can enter multiple email addresses for these notifications by separating the emails with a comma)
  7. Click Save

Your Branch Default email address is set in Alto itself. To check this:

  1. Click Tools on the main toolbar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Branches
  5. Click Edit next to the relevant branch
  6. In the Email Address line, check the email is correct for your branch, or edit it accordingly
  7. Click Save

Configuring your availability

When clients request a viewing appointment through this widget, by default all branches in the PropertyFile domain will show your available hours as 9am - 5pm Monday to Saturday.

If you want to amend the availability hours:

  1. Click Tools on the main toolbar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click PropertyFile
  4. On Alto PropertyFile Administration, click the number below your Branches
  5. On the Summary tab, a list of your Selected branches will display. Click the Office Hours tab
  6. Click Edit against your selected branch
  7. Amend the availability From and To times that clients can request an appraisal
    1. Slide the toggle to deselect any days you are closed
    2. Click + to enter additional time slots if there is a break in your availability
  8. Click Save 

Managing an appraisal booking request

Once a client has requested a market appraisal from your website, the request will be displayed in Alto on your Main Dashboard, within the Enquiries widget. This includes a chart that summaries the type of market appraisal requests you have received (lettings, sales or both), and is linked to Market Appraisal Enquiries, within Enquiries on the Home screen side menu
