Sending a letter to a second person on a property record

When a property has shared ownership and more than one vendor or landlord is added to it, you can select whether or not they receive copies of emailed correspondence. To determine this, click the relevant option in the dropdown menu next to each person listed on the property record.

If the property has been instructed:

  1. Click Property on the main toolbar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. The property Overview screen opens. Click Property on the side menu
  4. Click the Property top tab
  5. In the Market & Ownership section, next to the first Owner(s), click Direct from the dropdown menu. (The first owner must always be Direct)
  6. Next to the second and any subsequent Owner(s), click either:
    1. Direct - Each recipient is sent their own addressed copy of the letter, with no reference to other recipients unless written in the body of the letter
    2. CC - Correspondence is addressed to the first contact, and the second owner(s) email appears in CC but only when sending an event driven letter
    3. None - No correspondence is sent to that person
  7. Click Save

If the property is at market appraisal:

  1. Click Property on the main toolbar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. The property Overview screen opens. Click Appraisal on the side menu
  4. Click the Pre-Appraisal top tab
  5. In the Vendor/Landlord section, next to the first Vendor/Landlord, click Direct from the dropdown menu. (The first vendor/landlord must always be Direct)
  6. Next to the second and any subsequent vendors or landlords, click either:
    1. Direct - Each recipient is sent their own addressed copy of the letter, with no reference to other recipients unless written in the body of the letter
    2. CC - Correspondence is addressed to the first contact, and the second vendors or landlords email appears in CC but only when sending an event driven letter
    3. None - No correspondence is sent to that person
  7. Click Save

 Note

The first contact is always assumed to receive all correspondence directly and this option cannot be changed

 Warning

When using CC, the second Owner(s) email only appears in CC when sending an event driven letter. If you're producing an ad hoc letter, the second Owner(s) will need to be typed into CC for them to be sent a copy of the correspondence
