Creating shared charges on a joint tenancy

In Alto, you're able to raise a charge on a tenancy and split these charges between tenants on a joint tenancy.

 Best practice

Before you create a joint tenancy, all applicants need to be added to Alto as separate contact records and shouldn't be added as First Person and Second Person on a single contact record

Raise a charge on a tenancy

  1. Click Tenancy on the main toolbar
  2. Select the relevant tenancy from Recent & Favourite Tenancies
    1. Alternatively, find the tenancy using the Search Tenancies bar in the top right
  3. The tenancy Overview displays. Click Actions 
  4. In the dropdown menu, click Charge
  5. The Charges for this Tenancy window opens showing any existing charges that are waiting to be raised. Click Add Charge
    (If a charge has already been made, scroll down to the Share charges between the tenants section)
    1. Edit the Charge Date if required
    2. In the Charge To dropdown menu, select if the charge is to be raised against the tenancy or to a specific tenant
    3. In the Frequency dropdown menu, click the relevant option depending on if this charge is going to be reoccurring (Alto will default to a Single charge)
    4. In the Charge Item dropdown menu, click the relevant option and tickbox (Landlord Income will make any monies received against the charge payable to the landlord; Fees are payable to your agency;  Expenses are payable to the relevant supplier)
    5. Overtype the Description if required
    6. Enter the charge Net Amount
    7. Check the VAT Rate is correct (Alto will calculate the relevant VAT Amount)
    8. Ensure that the Total Charge is the correct amount
  6. Click Share Charge to share the charge between the tenants. Alto will automatically split the charge equally between all the tenants (you can edit the amount each tenant is responsible for, but these must add up to the total being charged)
  7. Click the Options tab to add a Payment Reference and set whether to Produce and Send Documents automatically when the charge is raised
  8. Click OK
  9. To raise the charge now, click the relevant Raise Now tickbox(es)
  10. Click Raise Selected
  11. Confirm you want to continue by clicking Raise Selected

Share charges between the tenants

If a charge has already been made:

  1. Click Edit next to the charge that you want to split between the tenants
  2. Click Share Charge. Alto will then automatically split the charge equally between all the tenants (You can edit the amount each tenant is responsible for but these must add up to the total being charged)
  3. Click the Options tab to add a Payment Reference and set whether to Produce and Send Documents automatically when the charge is raised
  4. Click OK
  5. To raise the charge now, click the relevant Raise Now tickbox(es)
  6. Click Raise Selected
  7. Confirm you want to continue by clicking Raise Selected
