Adding, completing and cancelling sales progression tasks

Within Alto, you can add your own custom progression tasks (milestones) to the sales progression checklist, during a property purchase.

You can then advance the property purchase progression tasks (milestones) through to completion.

Also, at any point, you can cancel a progression task (milestone) that isn't required.

Adding a custom sales progressions task

Additional unique and custom sales progressions tasks (milestones) can be added to the sales progression checklist from the sales progressions screen. This can be accessed in any one of two ways, either from Progressions or from Properties.

Adding a custom sales progressions task from Progressions
  1. Click Progressions on the main navigation bar
  2. In the dropdown menu, click Sales progressions. Then, click All Sales on the side menuClick the relevant sale from the list.
    Alternatively, Click Sales progressions beta. Then, click View full progression alongside the relevant sale in the list
  3. In the Transaction Management section, click the Vendor or Purchaser tabs to list the sales progressions tasks that are to be completed during the sale process

     Note

    You may notice some sales progressions tasks have an icon alongside them:

    Complete milestone.png - the progressions task displays in green and the icon indicates the task is complete

    Overdue milestone.png - the progressions task displays in red and the icon indicates the task is overdue

     - the below icon indicates the progressions task is an automated milestone. If a conveyancer has been referred, or, a case has been opened with a conveyancer, whenever they update their CMS (Case Management System) with important milestones, they're automatically sent to Alto for your visibility (signified by the below icon), speeding up your sales progression.

  4. At the bottom, click + Add Custom Task

  5. The Custom Task window opens. The Status of the task is currently Pending as it's new, but you can amend it if required
  6. In the Details section, type a Description of the progression task
  7. If required, in the Assigned To dropdown menu, click a name to reassign the task to someone else
  8. Target/Due Date for the task can be entered, or selected using the calendar. Change it, if necessary
  9. If required, the task can be given a Priority. In the dropdown menu, click LowNormal, or High
  10. Type in any additional Notes
  11. Click Save

The new custom sales progressions task appears at the bottom of the tasks list, and can be progressed like any other.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Sales Progression
  5. In the Transaction Management section, click the Vendor or Purchaser tabs to list the sales progressions tasks that are to be completed during the sale process

     Note

    You may notice some sales progressions tasks have an icon alongside them:

Completing a sales progressions task

  4. Click the date of the relevant sales progressions task that is to be progressed
  5. A task window opens. Click In Progress or Complete to change the Status of the task
  6. In the Details section, if required, use the Assigned To dropdown menu to click a name to reassign the task to someone else
  7. Target/Due Date for the task can be entered, or selected using the calendar. Change it, if necessary
  8. If required, the task can be given a Priority. In the dropdown menu, click LowNormal, or High
  9. Type in any additional Notes to keep your colleagues appraised of the tasks current progress
    1. If the task status has been changed to Complete, the Completed date will default to todays date. You can amend this by overtyping it, or, by selecting the relevant date using the calendar
  10. Click Save

If the sales progressions task status is In Progress, it will be coloured orange to indicate this in the list.

It will also be shown dated, with a tick alongside, to show that it's no longer outstanding. The Progress meter will increase by a percentage accordingly.

  4. Click the date of the relevant sales progressions task that is to be cancelled
  5. A task window opens. Click Cancel
  6. Click Yes - Cancel This Task when asked if you wish to proceed

In the list of tasks, this task is now marked as Cancelled.

  6. Click the date of the relevant sales progressions task that is to be cancelled
  7. A task window opens. Click Cancel
  8. Click Yes - Cancel This Task when asked if you wish to proceed

In the list of tasks, this task is now marked as Cancelled.
