Alto allows you to create match groups for properties. This means you can group records together based on a wide range of criteria. For example, you may want a list of the 3 bedroom properties for sale or rent available in a specific area.
Once these groups are created, any record that meets the set criteria will be included in that group. They can then be used in matching and for selecting properties when setting up Rolling screens.

You can also match groups of contacts to groups of properties, scroll through records, and send a letter or email to all landlords or tenants.

Creating a property match group from Tools
- Click Tools on the main toolbar
- On the side menu, under System Tools, click Match Groups
- Click Actions
- Click Add Property Group
- The New Match Group window opens. In the Group section, enter a Name for the group
- In the dropdown menu, instead of Private, click Shared All Branches (if you click Private or Shared Single Branch, you'll also need to select the person or the branch that will have access to this group)
- Tick the criteria that you require and complete the fields across the sections and tabs, i.e. tick For Sale or add the minimum and maximum number of Bedrooms
- You can filter on many other fields using the tabs to select Property Details, Features, Vendor/ Landlord, Lettings, Dates and Bulk Actions
- If you decide to use a date filter, such as No Viewings and select a date of a month prior to the current date, the group will always report on records that have had no viewings in the last month so the date entered rolls forward automatically
- The date filter, Completion Date, is useful if you wish to create groups of properties to send anniversary letters to, or build a picture of similar properties that sold within a timeframe
- You can filter on many other fields using the tabs to select Property Details, Features, Vendor/ Landlord, Lettings, Dates and Bulk Actions
- Click Save
If you refresh your browser, click Properties on the main toolbar and click Groups in the top left, your match group will be in Shared Groups.
To delete a match group:
- Click Tools on the main toolbar
- On the side menu, under System Tools, click Match Groups
- Tick the box(es) at the start of the match group rows that you wish to delete
- Click Actions
- Click Delete Group(s)
- A message appears stating Are you sure you want to delete this group?. Click Yes
Creating a property match group from Properties
Note
Groups created from Properties can't be seen by the entire branch or agency. They will only be visible to the user who created them
- Click Properties on the main toolbar
- Click Groups in the top left
- Click the + symbol alongside My Groups, to create a new match group
- The New Match Group window opens. In the Group section, enter a Name for the group
- Tick the criteria that you require and complete the fields across the sections and tabs, i.e. tick For Sale or add the minimum and maximum number of Bedrooms
- You can filter on many other fields using the tabs to select Property Details, Features, Vendor/ Landlord, Lettings, Dates and Bulk Actions

- Click View Results to create a temporary group, which will allow you to refine the list before saving
- You can filter on many other fields using the tabs to select Property Details, Features, Vendor/ Landlord, Lettings, Dates and Bulk Actions
- Click Save
- You can edit the group once you've saved it. Click Edit below the group name on the side menu
