Uploading a property to the internet

On a property record, there are two methods you can use to upload it to the internet portals and they both work simultaneously:

  • (within Property > Marketing) if it's marked to Publish to Web, OR,
  • (within Overview > Portal Publishing) if Include all portals/Include is ticked

You should ensure that certain fields are completed as the information contained in them will upload to the portals and your website.

Uploading via Publish to Web
  1. Click Properties on the main toolbar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. Click Property on the side menu
  4. Click the Marketing top tab
  5. Properties will not upload to the portals unless they are set as the Available status and the Publish to Web tickbox has been ticked. Once this is ticked, you'll see an entry appear in the property Timeline to say if it's been successful
Uploading via Portal Publishing
  1. Click Properties on the main toolbar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. The property Overview displays. Take note of the status - properties will not upload to the portals unless they are set as Available. As such, the Portal Publishing button is only visible on statuses that can be published, i.e. Available, Let Marketing, and Instructed, where it'll automatically update the status of a property to become Available
  4. Click Portal Publishing
  5. The Listing Review page opens. This page identifies any errors preventing the property from being uploaded and published, i.e. if a mandatory field on the property record hasn't been completed, and it provides an explanation on what must be done to rectify the error.
    It also acts as a preview of what the property listing will look like on the portals should you want to verify the information beforehand. You can also check the Gallery to review that the main image and image order has been set correctly.
    Click Publication settings
  6. Tick Include all portals to publish the property to all portals, or tick Include against the relevant individual portals
  7. Add in any publishing delays (in hours) using the + or - buttons, if necessary
  8. Click Update portals
  9. A label against each portal will state Sent To Portals to say if it's been successful, the status on the Overview will change, and an entry also appears in the property Timeline

Completing fields that will upload to the portals and your website

From 31 May 2022, all estate agent websites and property portals need to start including extra ‘material information’ on their UK residential property listings. These changes are in line with new guidance set by National Trading Standards, who want to increase clarity for consumers on the properties they’re looking to buy or rent.

  1. Click Properties on the main toolbar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. Click Property on the side menu
  4. Click the Property top tab
  5. The fields that will upload are part of the Address and About the Property sections:
    • Address (The Display Address in the Marketing top tab overrides the 1st line of the address of the property)

       Note

      As part of the Address section, you must ensure that you complete the fields for Name/No, Town, County, and ensure the Postcode is correct and in the correct format. For example, NN13 5RT

    • Number of bedrooms (Beds)
    • Bathroom (Bath)
    • Receptions (Recpt)
    • Property Type (Type)
    • Council Tax Band (Tax Band)
      • Domestic Rate (Domestic Rate)
      • Exempt (Exemption Reason)
  6. Click the Marketing top tab
  7. The fields that will upload are part of the Sale Information/Rental Information section:
    • Price (Sale and Rental)
    • Rental Freq (Rental)
    • Price Qualifier (Sale and Rental)
    • Deposit (Rental)
    • Tenure (Sale)
      • Shared Ownership (Sale)
      • Ownership Share (Sale)
      • Rent (Sale)
      • Rent Frequency (Sale)
      • Years Remaining (Sale)
      • Annual Ground Rent (Sale)
      • Fixed for Term (Sale)
      • Review Period (Sale)
      • Ground Rent Increase (Sale)
      • Annual Service Charge (Sale)
    • Furnishing (Rental)
    • Available (Rental)
    • Allow Match - This enables this property available to property matching  (Sale and Rental)
    • Display Address (Sale)

       Note

      You must ensure that you complete the Display Address field and that it consists of 3 parts separated by a comma. For example, Brackley, Northamptonshire, NN13

  8. Click the Summary top tab
  9. The Summary Description field will upload. Therefore, complete the Summary Description with the property description
  10. Click Rooms on the side menu
  11. Within the Rooms top tab, add the rooms and their accompanying descriptions and images, ready for upload

  12. Click the Lead In/Out Text top tab
  13. Enter the relevant text in the Lead In and Lead Out fields, ready for upload

    It will appear in the following
    order on the portals:
    • Photos
    • Summary
    • Lead in
    • Rooms
    • Lead Out
  14. Click the Bullets top tab
  15. Enter the relevant bullet points which will feed through to the bullet point features on portals, brochures and window cards

  16. Click Media on the side menu
  17. Click the Photos top tab
  18. Upload photos of the property. To select the order the images appear on the internet portal(s), click Web and click, drag and drop to reorder them

  20. Upload floorplans of the property, to appear on the internet portal(s)

  21. Click the Virtual Tours top tab
  22. Add a panoramic photo or video tour, to appear on the internet portal(s)

  23. Click the External Brochures top tab
  24. Upload a .pdf brochure, if one has been created

  25. Click the EPC top tab
  26. Upload an EPC chart for the property, to appear on the internet portal(s)

  27. Click Mapping on the side menu
  28. The mapping placement of the property will upload to the portals
