Several years ago, changes were made in Vebra/Encore Live to help you meet your obligations under the General Data Protection Regulations (GDPR) requirements. Part of these changes were to introduce a Preferences tab to the Person record where you can record the person's consent preferences.

Similar changes were also made to Alto where a Preferences Centre top tab was introduced, on a Contacts record. 

GDPR affects all your client contacts in Alto including vendors, landlords and applicants. The GDPR setting on your contacts Preference Centre will determine how you can use your contacts data within Alto.

  1. Click Contacts on the main toolbar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Contact on the side menu
  4. Click the Preference Centre top tab

Similarly to Vebra/Encore Live, this enables you to record your client's consent status, the date consent was obtained, and by whom/or how this consent was gained. There is also a field to type in any relevant Notes.

Solicitor referrals

Once consent has been granted for Conveyancing (via Alto), that section on the contact record will be available to use for sending referrals.

  1. Click Contacts on the main toolbar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Contact on the side menu
  4. Click the Contact top tab
  5. Scroll down to the Solicitor fields, located in the Address section
  6. Add any relevant Solicitor Notes. These notes will then get added to the referral email that Alto will generate to your solicitor
  7. In the Referred (Ext) field, search for and click on one of your solicitors from the generated list. (If they are not already in Alto, you will have to add the solicitor as a new contact)
  8. Click Save and the Solicitor Referral email will be generated

Financial Service referrals

Once consent has been granted for Financial Service Referrals (via Alto), that section on the contact record will be available to use for sending referrals.

  1. Click Contacts on the main toolbar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Contact on the side menu
  4. Click the Position top tab
  5. In the Financial Services section, click the relevant Action from the dropdown menu
  6. Add any relevant Notes. These notes will then get added to the referral email that Alto will generate to your financial advisor
  7. In the Referred To (External) field, search for and click on the financial advisor. (If they are not already in Alto, you will have to add the financial advisor as a new contact)
  8. Click Save and the Financial Services Referral email for your financial advisor will be generated
