With the range of available reports in Alto, you have the ability if you wish to restrict and manage the data that can be reported on, so that it's only available to authorised members of staff.

To do this, you create tokens, which are activated for certain reports. Only staff groups or members who have the token can access the reports associated with the specific tokens.

This article includes: 

Creating the report group token

To create the report group token, i.e. a specific report group such as the Managers Report group:

  1. Click Tools on the main toolbar
  2. On the side menu, under System Tools, click System Administration
  3. Click Reports
  4. Click Report Tokens
  5. Click Create New
  6. Enter the name of the Report Token as the ReferenceCode
  7. Enter a Description of the token
  8. Set the Status as Active
  9. Click Create

The newly created report token will listed on the Report Tokens screen.

Associating tokens to the reports

  1. Click Tools on the main toolbar
  2. On the side menu, under System Tools, click System Administration
  3. Click Reports

    The Group Report screen displays a list of the reports in Alto. On the right hand side, you can select the report tokens that are to be associated with each of the reports.

  4. Select the name of the report and use the Required Token dropdown menu to set your tokens accordingly
  5. Click Save

Assigning report tokens to Group Roles

  1. Click Tools on the main toolbar
  2. On the side menu, under System Tools, click System Administration
  3. Click Group Roles
  4. Click Edit alongside the relevant group role
  5. Scroll to the bottom and select which Report Token is to be assigned to the role. To do this, tick the box in the Selected column
  6. Click Save

This will allow all users in that current role to have access to the data and reports associated with the report token.
