Clearing/wiping your Accounts Ledger data

If you'd like us to undertake a wipe of your Accounts Ledger data, we can do so upon confirmation from a Manager or Director.

 Note

Wiping of your Accounts Ledger data can only be achieved at Group level, and not at Branch level within a Group

What data will be cleared/wiped

All accounts transactions for the Group are deleted. This includes:

  • All Timeline entries associated with a transaction
  • All accounts documents (invoices, landlord statements etc) associated with a transaction whether printed, emailed or pending a print request
  • Opening Balances
  • Deposits Held
  • NRL Tax Balances
  • Bank Balances (this includes all Monies Held)
  • Arrears Balances
  • Unposted Opening Balances (Arrears and Bank)
  • Opening Balance Timeline entries
  • Bank Reconciliation Timeline
  • Process Agency Fees Timeline
  • Process NRL Tax timeline
  • Bacs payment Timeline
  • Period Statement timeline entries
  • Number sequence reset (landlord statement, supplier remittance etc)
  • Fee Export Report contents - If you have imported any of these files into your accounting software, this process will result in loss of the digital trace. You should retain a copy of the files prior to the Alto accounts being cleared

What to expect after an Accounts Ledger data wipe

  • Accounts will be cleared for ALL records in ALL branches for ALL bank accounts linked to the Group
  • Clear Accounts will result in a £0.00 balance on all bank accounts and all contact, property and tenancy records
  • Works Orders are RETAINED. If you use PropertyFile, this ensures that Works Orders shared with Landlords or Tenants don't disappear from PropertyFile. However, raised charges linked to Works Orders will be Deleted. If unraised charges are retained when the accounts are cleared, any unraised charges linked to works orders will not be deleted
  • Accounts relating to Alto property sales will NOT be affected
  1. You'll need to re-enter Opening Balances after accounts have been cleared
  2. If you have TDS enabled, once your accounts have been cleared and you've re-entered the tenancy deposits, you'll need to check for discrepancies. Should you find any discrepancies, you'll need to correct TDS or Alto as appropriate

 Note

All deposits registered with TDS prior to accounts being cleared will need to be managed manually outside of Alto

Requesting a wipe of your Accounts Ledger data

To proceed with us undertaking a wipe of your Accounts Ledger data, a Manager or Director should first get in touch with our support team.

To do so, click Contact support below and complete the contact form.

In the Description box, please confirm you have read and understand the implications of the wipe as detailed above, and select and confirm as to whether you want to:

  1. Clear all Accounts and all Transactions (as listed above), OR
  2. Clear all Accounts and Transactions, but RETAIN the Unraised charges (including rent charges, property and supplier commissions)
