At this point, you should’ve received your new Alto log in details and be up and running.
It’s crucial that one of the first ‘tasks’ that you do, is update Alto with any changes that were made in Jupix after the data migration (if applicable).
This article includes:
Updating any changes
As part of your migration, the day before you started using Alto, we took a copy of your Jupix data. If you made any changes during that 24-hour window (i.e. record changes, viewings, diary appointments), they won’t have been reflected in the migrated data that’s now in Alto.
Your team should’ve taken note of any changes that day, and you're now able to manually update the migrated data within Alto, ensuring you’re fully up to date.
Best practice
You may want to refer to the News Reel and Property Updates widget on the Jupix homepage. This will assist you in viewing certain types of activity and identifying data that needs to be re-added from the last day
Below are some Help Centre articles that you might find useful when re-adding your data:
Adding a new applicant
Changing the status of a property
Booking a viewing via the diary
Data differences
Regardless of whether you need to update Alto with any changes or not, you may notice some differences/inconsistencies between your Jupix data and how that data is presented in Alto.
Some examples of the data differences that you might encounter include:
Properties in Jupix with open tenancy Applications which are at a status of Offer Pending will migrate as File notes and Offers on the relevant property records Timeline in Alto.
Only once an application progresses to a proposed tenancy (or more) will it migrate to Alto as an Active tenancy.
To resolve this in Alto:
- Click Properties on the main toolbar
-
Select the relevant property from Recent & Favourite Properties
- Alternatively, find the property using the Search Properties bar in the top right
- Click Timeline on the side menu
- Click the relevant open Offer entry
- Click Accept Offer
The number of properties available for rent seen in Jupix may not fully match up with the number migrated to Alto as we need to make sure all properties with an Active tenancy have a status of Let.
In this instance, properties within Jupix that have an Active tenancy and a status of Instructed - On Market will migrate as Let in Alto, and so will need to be remarketed. To resolve this:
- Click Properties on the main toolbar
-
Select the relevant property from Recent & Favourite Properties
- Alternatively, find the property using the Search Properties bar in the top right
- The property Overview displays. Click Actions
- Click Change Status
- In the New Status dropdown menu, click Let (Marketing)
- Click OK
Properties in Jupix which are at a status of Sold STC, Under Offer or Exchanged with no existing or accepted offers or current sales will migrate as Archived in Alto.
Media is only migrated for Active properties in Jupix. Therefore, if the property was Archived prior to your data being migrated, media such as photos, documents and .pdf's will not come across to Alto.
Property/Landlord Maintenance Notes in Jupix will migrate to the relevant records Timeline in Alto.
- Property Maintenance Notes will appear within the property Timeline on Alto, with the date of the migration against the notes. To view this:
- Click Properties on the main toolbar
- Select the relevant property from Recent & Favourite Properties
- Alternatively, find the property using the Search Properties bar in the top right
- Click Timeline on the side menu
- Using the filter buttons at the top, click to select which of the event types you wish to see on screen
- All On/Off will instantly turn all of the filters off or on
The Timeline refreshes to display only those event types where the filter button(s) have/has been selected.
- Landlord Maintenance Notes will appear within the landlords Timeline on Alto, with the date of the migration against the notes. To view this:
- Click Contacts on the main toolbar
-
Select the relevant contact (Landlord) from Recent & Favourite Contacts
- Alternatively, find the contact (Landlord) using the Search Contacts bar in the top right
- Click Timeline on the side menu
- Using the filter buttons at the top, click to select which of the event types you wish to see on screen
- All On/Off will instantly turn all of the filters off or on
The Timeline refreshes to display only those event types where the filter button(s) have/has been selected.
The number of Applicants seen in Jupix may not fully match up with the number migrated to Alto. This is due to a couple of reasons:
- We only migrate applicants as Active, where they have an expiry date in the future, or no expiry date (Date Profile Expires)
In this instance, if the applicant had expired in Jupix, the record will still be in Alto but will not be showing as an applicant. To resolve this:
- Click Contacts on the main toolbar
-
Select the relevant contact from Recent & Favourite Contacts
- Alternatively, find the contact using the Search Contacts bar in the top right
- Click Contact on the side menu
- In the Type dropdown menu, select Client
- In the Intention dropdown menu, select Buy or Rent
- Click Save
- During the migration process, where two or more applicant records match, these records will merge, which can cause the number to be different
The number of estate agents seen in Jupix may not fully match up with the number migrated to Alto. Where an estate agent is linked to a property as the owner, the record will migrate with the contact Type set as Client, which is what Alto requires it to be, to be classed as the owner.
In this instance, if you require the estate agents to be added separately to the owner record, they will need to be added as a contact with the Type set as Estate Agent. To resolve this:
- Click Contacts on the main toolbar
- Click Add Contact
- A blank contact record is created. In the Type dropdown menu, click Estate Agent
- Type in the estate agents Company name
- Type in any Contact Notes such as their working hours
- Enter all contact information within the First Person and Second Person sections, i.e. the lead contact(s) at the agency
- Enter all Address information
- Click Save
The number of suppliers (Third Party Contact) seen in Jupix may not fully match up with the number migrated to Alto. This will be due to the following reasons:
- If a supplier is also an owner, they will be imported as a vendor/landlord. Their contact Type will be set as Client
- If a supplier is also an applicant, they will be imported as an applicant. Their contact Type will also be set as Client
In this instance, if you require the suppliers to be added separately to the owner/applicant record, they will need to be added as a contact with the Type set as Supplier. To resolve this:
- Click Contacts on the main toolbar
- Click Add Contact
- A blank contact record is created. In the Type dropdown menu, click Supplier
- Type in the suppliers Company name
- Tick each of the suppliers Services which they provide. This is crucial as it enables them to be available for you to assign works orders to
- Type in any Contact Notes such as their working hours, emergency call out hours and rates
- Enter all contact information within the First Person and Second Person sections
- Tick the appropriate Account Delivery Method(s). (This is how work orders and payment remittance will be sent). If you tick Email, a valid email address is required
- Enter all Address information
- Click Save
Tenancy history that has been migrated from Jupix will appear within the property Timeline on Alto, rather than the tenancy Timeline.
To view the tenancy history:
- Click Properties on the main toolbar
- Select the relevant property from Recent & Favourite Properties
- Alternatively, find the property using the Search Properties bar in the top right
- Click Timeline on the side menu
- Using the filter buttons at the top, click to select which of the event types you wish to see on screen
- All On/Off will instantly turn all of the filters off or on
The Timeline refreshes to display only those event types where the filter button(s) have/has been selected.
Progression chain notes
