Deposit Warnings When Creating a New Tenancy

Deposit Warnings


When creating a new tenancy a warning will appear if the Deposit amount is deemed a prohibited payment by the Tenant Fees Act and or if the user is creating a prohibited tenancy charge.

Warning messages will display to help you identify if you are charging or holding a prohibited tenancy deposit.

  • at the start of tenancy
  •  when renewing a tenancy
  •  when a tenancy becomes periodic

Warning messages will now display if:  

  • An automatic tenancy or tenant fee is about to be charged.   
  • The deposit amount exceeds:

a) the amount of five weeks’ rent, where the annual rent in respect of the tenancy immediately after its grant, renewal or continuance is less than £50,000, or 

b) the amount of six weeks’ rent, where the annual rent in respect of the tenancy immediately after its grant, renewal or continuance is £50,000 or more 

You can configure the warning message to not display if you operate outside of the jurisdiction of the Act.  To disable warning messages, untick the following options in Branch Settings:  

  • Show Maximum Deposit Exceeded   
  • Show tenancy fee warning


 

At the Start of a Tenancy

Property>Let Agreed 


If the Deposit required amount exceeds the permitted amount a warning message is displayed: 

Note: The Deposit required amount is populated from the Property>Marketing Deposit amount. 

 

Lettings Progression 

If the deposit required amount exceeds the permitted amount a warning triangle is displayed:

To view the deposit information click Edit Tenancy and click on the warning triangle


Add Initial Charges and Finalise Let 

The relevant warning message is displayed if:  

  • The deposit required amount exceeds permitted amount.  
  • A tenant or tenancy fee is enabled in Branch Settings>Lettings Charges>Charge Event=Finalise Let.

If both apply a combined message is displayed: 

 


When Renewing a tenancy 

 Tenancy>Renew Tenancy
 

If the deposit held amount exceeds permitted amount a warning message is displayed

To refund the difference between the deposit held amount and the permitted deposit amount go to Actions>Refund on the tenancy record. 


Renewal Progression 

If the deposit required amount exceeds the permitted amount a warning triangle is displayed. Click Amend to edit the deposit required amount. 

Click on the warning triangle to view the deposit information


Finalise Renewal 

A warning message is displayed if:  

  • The deposit required amount exceeds permitted amount.  
  • A tenant or tenancy fee is enabled in Branch Settings>Lettings Charges>Charge Event=Finalise Renewal. 

 If both apply a combined message is displayed: 


When a tenancy becomes periodic

 Tenancy>New Periodic Term   


A warning message is displayed if:  

  • The deposit held amount exceeds permitted amount. 


To refund the difference between the deposit held amount and the permitted deposit amount go to Actions>Refund on the tenancy record. 


If you continue, a warning message is displayed if:  

  • The deposit requested or required amount exceeds permitted amount.  
  • A tenant or tenancy fee is enabled in Branch Settings>Lettings Charges>Charge Event=Change to Periodic  

If both apply a combined message is displayed:
