In Alto, all upcoming event dates that are to be renewed for your tenancies are accessible from the Event Dates widget on the Property Management Dashboard.
This is a customisable list that can be added to, whereby all of the events are colour coded by type (pink relates to tenancies, red relates to contacts, blue relates to properties) and status (orange are upcoming, red are overdue).
From here, you can manage due or overdue dates for insurance renewal, tenancies, landlords, and contacts.
Property dates such as safety certificate renewals and inspection renewals can also be managed - an example of which is included towards the end of this article.
Adding a new Event
Note
You will need access to System Administration, to edit your default settings. Your appointed Group Administrator will have access to these permissions
To add a new event:
- Click Tools on the main navigation bar
- In the dropdown menu, click Templates and admin
- On the side menu, under System Tools, click System Administration
- Click Group Settings
- Scroll down and click Management Diary Events
- Scroll down and click Create Management Date
- Enter a Name
- Enter a ShortName
- Enter a Description
- Click Create
- With the event date now Selected, you can then configure it accordingly by making it Available To the appropriate type (Tenancy, Tenant, Supplier, Property or Landlord)
With the event created, you can then add it against the contact or tenancy:
- Click Contacts or Tenancies on the main navigation bar
- Select the relevant contact/tenancy from Recent & Favourite Contacts/Tenancies
- Alternatively, find the contact/tenancy using the Search Contacts/Tenancies bar in the top right
- For Contacts, click Management on the side menu. For Tenancies, click Dates on the side menu
- Click Add Date
- The Add Date window opens. In the i dropdown menu, click the relevant type of date you wish to set a reminder for
- Click the appropriate Status (usually Pending as it's a new date reminder being added)
- Select the Due Date for the reminder
- Add any relevant Notes
- Click Update

Within Alto, a Right to Rent Check event can be created enabling you to see when a right to rent check is due, giving you time to carry it out up to 28 days prior to the tenancy commencing
Best practice
With regards to audits and reports, you can run the Date Events Property Management report (via Reports>Classic reports on the main navigation bar) to flag event dates in a certain timeframe
Managing your Event Dates
The steps below outline how to set the event date 'task' to In Progress once you commence action on it, and how to Complete the task and renew the dates once you have actioned it.
- Click the Alto Logo (Home tab) on the main navigation bar
- Click Property Management Dashboard on the Home screen side menu
- Within the Event Dates widget, a list of varying types of event dates are shown with a corresponding number as to how many are due or overdue
- Click the relevant type of event date
- In the Date Events window, click the item you wish to manage and mark as in progress
- Tenancy Event Dates allow you to Email All Tenants and Email All Landlords

- In the Manage Date window, you can amend the Status. Click In Progress
- Amend the Due Date, as required
- Add any relevant Notes
- Click Update
For completing and renewing the relevant date:
- Follow steps 1-5 above
- In the Manage Date window, amend the Status to Complete
- Record the Completed Date and amend the Rescheduled For date, as required
- Add any relevant Notes
- Click Update
- Click the Alto Logo (Home tab) on the main navigation bar
- Click Property Management Dashboard on the Home screen side menu
- Within the Event Dates widget, a list of varying types of event dates are shown with a corresponding number as to how many are due or overdue
- Click the Property Inspection event date
Selecting Book opens the Appointment Details window which allows you to schedule an appointment for the property inspection, and the appointment form will be pre-populated with the following:
- Negotiators
- Date & Time - The inspection due date. The time defaults to 12pm for you to amend as required
- Entry Type - Defaults to property inspection
- Location - Defaults to the property address
- Contact(s) - Defaults to the lead tenant
- Property/Properties - Defaults to the property
When the appointment is saved, the Status of the Property Inspection Event Date will be updated to In Progress and a View button will enable you to view and edit the linked appointment.
If the appointment is cancelled via the Property Inspection Event Date, the Status will revert to Pending and the Book button will re-appear enabling you to book a new appointment.
