Archiving a contact hides their record from contact searches by default, while keeping all their details in Alto. You can find archived contacts at any time by including them in a search, and unarchive them to make them active again.

Not what you're looking for? Did you mean...

Archiving lots of contacts at once? See Setting up and using Bulk Archive for contacts and properties. Need to remove a contact's personal data permanently? See Deleting personal data for an individual contact.

Archiving is useful for contacts you're no longer actively working with, such as old applicants or contacts brought across from a previous system, so your contact searches stay focused on current contacts.

Archiving a contact

Archive a contact from the Actions menu on their contact record. You can add a note to record why they were archived.

 Note

Before you archive a contact, check they aren't still involved in your current business, for example as the vendor or landlord of a current property, a tenant in a current tenancy, or an applicant with a recent offer

  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1. Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Archive
  5. Type in any relevant Notes, for example why you're archiving the contact
  6. Click OK

The contact is archived and hidden from contact searches by default. An entry is written to the contact's Timeline confirming the change.

 Note

Archiving a contact also cancels any of their pending or in-progress follow-ups

Finding archived contacts

Archived contacts don't appear in contact searches unless you choose to include them. To find an archived contact:

  1. Click Contacts on the main navigation bar
  2. Click the down arrow to the right of the Search Contacts bar in the top right
  3. Tick the Archived box to include archived contacts in the search results
  4. Find and select the contact using the Search Contacts bar

Unarchiving a contact

Unarchiving makes an archived contact active again, so they appear in contact searches as normal. Find the contact first, as described in Finding archived contacts above, then:

  1. Click Actions
  2. Click Unarchive
  3. Type in any relevant Notes
  4. Click OK

The contact is active again, and a new entry is written to the contact's Timeline confirming the change.

FAQs

  • Why can't I find a contact I archived?

Archived contacts are hidden from contact searches by default. Click the down arrow next to the Search Contacts bar and tick Archived to include them.

  • Can I archive or unarchive contacts in bulk?

You can archive contacts in bulk using Bulk Archive. There isn't a bulk unarchive option, so contacts can only be unarchived one at a time.

  • What's the difference between archiving and deleting a contact?

Archiving hides a contact but keeps all their details, and you can unarchive them at any time. Deleting permanently removes their personal data and can't be undone.
