Generating sales letters (Offer Accepted letter and/or Memorandum of Sale)

Generating sales letters lets you produce formal documents related to a sale - they're often referred to as the Offer Accepted letter and/or Memorandum of Sale.  

You can generate the letters at 3 key stages, as part of different workflows: 

  • At the point of accepting the offer (the letters are automatically offered)
  • After offer acceptance by generating the letters from the Timeline
  • After offer acceptance by using the Write a Letter option

Generating sales letters when accepting the offer

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. On the property Overview, click Offers
  4. Click the blue Offer link on the offer in the timeline that has been received
  5. The Offer Details window opens. Click Accept Offer
  6. Accordingly, in the Applicant Solicitor/Vendor Solicitor dropdown menu, find and click the applicants/vendors solicitor, if known and not already listed
    1. Alternatively, you're able to directly refer the contact(s) to a vetted panel of Alto approved conveyancers

  7. Click Save
  8. At this point, you'll be given the opportunity to create and generate the appropriate sales letters. Tick which letters you wish to generate and click Open Letters Now

  9. They can then be edited, finalised and sent like any other letter

Generating sales letters from the Timeline

Generating the letters from the Timeline can be done after an offer has been accepted.  

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. On the property Overview, click Offers
  4. This opens the Offers section of the Timeline. Alongside the relevant offer, click the negotiator name on the far right hand side

  5. At this point, you'll be given the opportunity to create and generate the appropriate sales letters. Tick which letters you wish to generate and click Open Letters Now

  6. They can then be edited, finalised and sent like any other letter

Generating sales letters using the Write a Letter option

Generating the letters using the Write a Letter option can be done after an offer has been accepted.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Docs
  4. In the dropdown menu, click Write a Letter
  5. Ensure Based upon a timeline entry, such as an offer accepted event is selected and click Next
  6. Locate and click on the relevant Offer accepted event, then click Next

  7. At this point, you'll be given the opportunity to create and generate the appropriate sales letters. Tick which letters you wish to generate and click Open Letters Now
