Turning on automated charging

Automated charging is a process that runs automatically in the background overnight and raises all the un-raised charges that are due that day. It usually runs in the early hours of the morning and will show in the Timeline that the charge has been raised, and that it was raised by Background User.

 Note

In order for Automated charging to work, it must be turned on.  

To turn it on, or to check that it's turned on, you will need access to System Administration. Your appointed Group Administrator will have access to these permissions

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Companies
  5. Click Edit next to the relevant company
  6. Scroll down and untick Stop Automated Charges. (If this is ticked, the process will be turned OFF)
  7. Click Save, then Refresh your browser

With automated charging now turned on at company level, you must now turn it on at branch level.

  1. On the side menu, under System Tools, click System Administration
  2. Click Branches
  3. Click Edit next to the relevant branch
  4. Once again, scroll down and untick Stop Automated Charges. (If this is ticked, the process will be turned OFF)
  5. Click Save, then Refresh your browser
  6. If you have multiple branches that you receipt rent against, you'll need to repeat the above process against each branch

Once the tick boxes have been un-ticked against both the company and the branch, Alto will start raising the charges from that night onwards. If the charges haven’t raised for months, Alto will only raise one charge per night, and it'll continue to raise one charge per night until it catches up.

If you find that charges aren't raising against a specific tenancy, it could be because the charges are blocked from raising. To check this: 

  1. Click Tenancies on the main navigation bar
  2. Select the relevant tenancy from Recent & Favourite Tenancies
    1.  Alternatively, find the tenancy using the Search Tenancies bar in the top right
  3. Click Tenancy on the side menu
  4. Click the Details top tab
  5. Ensure the Block Charges box isn't ticked. (If it is ticked, untick the box, then click Save - going forward, the charges should begin raising from that night)

 Best practice

To see what rents are due to be raised, and, to keep track of all your un-raised charges, we recommend checking the Charges to Raise report. This can be found in Reports>Reporting on the main navigation bar, within Property Management Financials
