Completing your Alto hub set up forms

When onboarding with Alto, upon signing your order, you'll be passed over to the Onboarding Team, where you will be assigned an Onboarding Coordinator who will be in touch to introduce themselves and get started.

You'll be sent an email and login details for your personalised Alto hub, a central system that is the home of all things Alto.

How to complete your Alto hub setup forms

To get started, we need some key information about your business - you can find this on the Set Up Forms section within your Alto hub.

Depending on your order, there will be three or four pages of Set Up Forms to complete:

  • The Essentials
  • Design & Marketing
  • Property Management and Accounts
  • API Agreement

The Essentials should be done first, as this provides us with the key information we need to get started.

The Essentials

In order to set up your Alto database, we require some basic information about your business, including your office, user and VAT information.

The form required depends upon your order and whether you have 1 user on your account, or 2+ users.

1 user

Complete the form on The Essentials tab to provide us with the information required. We require:

  1. Office name, address, phone number and email address
  2. VAT number if applicable
  3. Lead sources - where you get your leads from, for example: Zoopla, social media, advertising. Separate them with a comma
  4. Match areas - Please use either the names of towns/villages or postcode prefixes. It's not possible to use a combination of both. One per line, do not separate match areas with a comma
  5. User full name, job title, email address and phone number
  6. If you're using the Accounts functionality within Alto, add your client and/or deposit account information (sort code and account number) and the deposit scheme that you use
  7. Your activation date - see below

Activation date - Depending upon resource, we can provide Alto logins the same/next day (during working hours). Branding takes a little longer, but you can start adding your data in and finish setting up your Alto account in the meantime.

As per the payment terms on your order, your monthly subscription charges will start as soon as you gain access to the application or one month after the date your order was placed, whichever is earlier.

2+ users

The information that you enter here will be extracted and used to configure your database. Please ensure you enter information exactly as required (including spelling and grammar).

  1. Office Details - enter the details for each office/branch required on Alto. If you have discussed virtual branches, i.e. "Students Branch" then add these also.
    For phone phone numbers, please use spaces - i/e. 01225 123 123
  2. Users - enter all the users to be added to Alto and indicate which office they usually work from.
    All login names should be individual, verifiable email addresses.
    For phone phone numbers, please use spaces - i.e. 01225 123 123.
    Select a job title from the drop down.
    You have a dedicated number of Accounts user licences on your order. Please specify these under "AccountsUser". Accounts licences are required for paying out of Alto, as well as for statements and receipting.
    You can have as many System Administrators as required. Users with this role will have full access to all areas of Alto, including editing settings, templates and other users. Assign these under "AdminUser".
    List each users direct manager - this enables their manager to see their progress in Alto Skills
  3. Match Areas - these are the areas in which you operate, i.e. where your applicants will be searching in and properties will be listed in. List one area per line
  4. Lead Sources - Enter where you get your leads from, for example: Zoopla, social media, advertising. Please ensure you enter one item per line
  5. Bank Accounts & Deposit Scheme (only required for Accounts functionality - can be skipped if this isn't required) - In order for us to allocate the correct bank account(s) to your branch(es), please provide your sort code and account number for your client/deposit account(s).
    Add the scheme(s) you generally use to lodge your deposits and confirm if this is custodial or insured

We cannot proceed without this information. (The forms in other sections can be done later if required)

Design & Marketing

On this page there are 2 forms, one to choose your marketing pack and provide us with your logo and letterhead, and one to confirm your PropertyFile set up.

Read through the information on the Alto hub and then complete both forms.

Design Detail

Complete this form to set up your customisation within Alto. Provide us with your marketing pack choice, logo, letterhead and key branding information.

PropertyFile

PropertyFile is an online platform which is fully integrated with Alto and comes as standard as part of your Alto subscription. It will be set up with your Alto installation and you can then customise the features within it.

Confirm the domain name you wish to use for PropertyFile (i.e. YourAgencyName.propertyfile.co.uk). This must be a minimum of 7 characters. Most businesses use their business name.

Property Management and Accounts

If you're having a data migration, read through our Accounts Go Live procedure and confirm your acceptance.

Next, provide us with key information regarding your accounting practices to aid your training journey.

API Agreement

If you want to set up a feed between Alto and your website, complete this form.

If you're having a Zoopla website, this form isn't required.

On providing your website provider’s information, we will send them the API feed information required to set up the feed between your website and Alto.
