Automate property management interactions with Fixflo

Alto has integrated with Fixflo, enabling you to automate and streamline every property management interaction.

From tenant reporting and managing supplier quotes, to invoicing and reconciling maintenance costs, you can manage all your property maintenance jobs from one system - giving you complete control over your property portfolio.

Setting up the integration

If you would like to request access, whether you're an existing Fixflo customer or if you want to get set up as a new customer:

  1. Click Integrations on the main navigation bar
  2. Click the Tenant Maintenance category
  3. Below Fixflo, click Tell me more
    1. If you're an existing Fixflo customer and want to integrate your account with Alto, click Integrate Fixflo. Slide the toggle indicating you have an account and click Integrate, at which point your request will be sent.
      Then, within Fixflo, you'll need to generate an authentication token. Please follow the instructions here to generate this
    2. If you're a new customer wanting to get set up with Fixflo, click Register interest. Complete the short form and click Submit. Fixflo will then contact you to set up a no-obligation chat so you can find out more about them and how they integrate with Alto

To check on the status of your integration request and whether it's activated within Alto, you can view the Tell me more > Integrate page.

Here, within the Branch integration section, you can view a Sent date alongside the available branches you have access to - this is the date upon which an activation email was sent to the partner.

How does the integration work?

Having Alto integrate with FixFlo enables your property, landlord, tenant, and supplier data to be pushed into Fixflo, saving you time in data entry.

Additionally, invoices, charges, and work orders added in Fixflo will synchronize back into Alto once a job is marked as complete, ensuring all your information is up-to-date and consistent.

Data synchronization from Alto to Fixflo

Each piece of data will sync daily from Alto to Fixflo. As such, Alto becomes your main source of truth; if you need to add a new property, add it to Alto and it will sync to Fixflo overnight.

The following data is synced from Alto into Fixflo:

Fixflo will only pull through properties with

  • the record type: Rent
  • the management type: Managed/not managed or Part managed
  • the maintenance value: Handled by Us

The integration syncs properties with active and inactive tenancies.

You can choose to sync residential and/or commercial properties. (please let us know your preference and we will ensure the set up is correct for you)

We can also customise which property statuses are syncing - the options are as follows:

Fixflo pulls through the property ID and OID as the external reference, the flat or room number if available, address lines 1-3, postcode, town and county.

Tenants

Tenants are known as occupiers in Fixflo.

For tenants to sync from Alto, they need to:

  • Have a tenancy at a property that we sync, either active or periodic
  • Be active (not archived or deleted)

For their profile, we sync their tenant ID, title, first name, surname, company name, both phone numbers, email address and tenant address.

If a tenant is archived on Alto, it will be automatically archived on Fixflo as well.

When a tenancy becomes inactive, the tenant will be archived in Fixflo.

Landlords

All users with the user type Client - Landlord on Alto will be added onto Fixflo as landlords. (This doesn't include Client - Potential Landlord).

Landlords whose property we no longer sync will not be archived to ensure we don't archive landlords who have multiple properties by accident.

If a landlord is archived on Alto, it will be automatically archived on Fixflo as well.

For their profile, we sync their name, email, phone number, landlord address, and company.

Suppliers

Suppliers are known as contractors in Fixflo.

For suppliers to be pulled through to Fixflo, they need to be marked as active and be one of the following trades:

  • plumbing, window cleaning, gardening, gas, electricity, oil, water, bulk lpg, carpentry, pest control, building maintenance, contents insurance, building insurance, public liability insurance, council, sewerage, board contractor, external printer, builder, landlords insurance, rent indemnity insurance, utility, electrician

We sync their supplier ID and OID as their external reference, their supplier title, first name, surname, company name, email address, and contact numbers.

A supplier profile is archived when they stop meeting the sync criteria or if they are archived on Alto.

Work orders

Work orders are known as issues in Fixflo.

Both planned maintenance and reactive issues will sync to Alto. Work orders will only be created once a contractor is instructed to the issue.

When the issue is closed, a .pdf copy of the issue and any completion documents, including certificates will be synced to Alto.

Work orders will be automatically linked to charges if they are present. 

Charges and invoices

All charges will be classified as maintenance on Alto.

Charges can be posted to tenants or landlords. This is selected in Fixflo.

Upon marking a job as completed in Fixflo, Fixflo will update Alto with the charge amount, which is the total amount of the invoice including tax, as well as the invoice document.
