Exchanging a sale in progress

You can record the exchange of contracts to formally move a sale in progress into its final stages. Recording the exchange updates the status to Exchanged, whilst also advancing the progression milestones.

Exchanging a sale can be done in any one of two ways, either from Progressions or from Properties.

Exchanging a sale from Progressions

  1. Click Progressions on the main navigation bar
  2. In the dropdown menu, click NEW Sales progressions
  3. You can filter the sales by Branch, Conveyancer, Sales Progressor or Status if you need to narrow down the number of sales listed. Click View full progression alongside the relevant sale in the list
  4. Click Actions
  5. In the dropdown menu, click Exchange
  6. The Exchanged window opens.

    In the Exchanged section, confirm the Effective Date when contracts actually exchanged. This helps ensure the date is recorded accurately in the timelines
  7. Type in any relevant Notes
    1. Earn agency commission from referral partners when you refer directly through Alto. Click Make a referral and then tick the relevant integration partner, and click Refer selected. Tick to confirm that you want to refer the selected contacts (and share their contact details). Then, click Send referral

  8. Click Save
  9. At this point, you may be given the opportunity to generate the appropriate letters relating to the exchanging of contracts. Tick which letters you wish to generate and click Open Letters Now.
    They can then be edited, finalised and sent like any other letter.

The property's status shows as Exchanged and the progress meters indicate the sale as 95% complete, regardless of whether you have completed any milestones (tasks).

Exchanging a sale from Properties

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Sales Progression
  5. Click Actions
  6. In the dropdown menu, click Exchange
  7. The Exchanged window opens.
