When your contacts (clients) are using Keyflo, they can switch between tabs for Contact and Property, by default.
There are also tabs for Viewings and Offers which give your contacts (clients) access to their viewing details, alongside any applicant feedback you send them, and their accepted offer(s).
However, this functionality needs to be enabled first in order for the tabs to become visible.
Enabling viewings, feedback & offers
To enable this functionality at group level, Group Administrators can use the Keyflo option in the Tools dropdown menu to toggle it on.
- Click Tools on the main navigation bar
- In the dropdown menu, click Keyflo
- In the Viewings & offers section, toggle on Enable viewings, feedback & offers
Once enabled, your contacts (clients) will have access to both tabs when using Keyflo.

- Viewings outlines all the confirmed viewings that are booked in for the owners property, and they can see who the applicants are and the time/date of the appointment. Any changes/cancellations appear in real-time too. They can also read any viewing feedback that's been received from the applicants if you choose to share it
- Once your contact (client) accepts an offer, and you mark it as such in Alto, the Offers tab outlines the details of any accepted offers on the property

Viewing email notifications
Once viewings, feedback & offers is enabled in your Keyflo settings, we'll also send automated viewing email notifications to owners covering the below events, all of which can be tracked from the contacts Timeline offering you more insight around email deliverability and where reminders are needed.

The automated viewing email notifications are not editable
- Viewing confirmations
- Viewing amendments
- Viewing reminders
- Viewing cancellations
- Viewing feedback
Unsubscribing a contact (client) from receiving viewing email notifications
If you have property owners who prefer to not receive the viewing email notifications (i.e. landlords who have a significant portfolio and don't need the viewing information to be shared), you're able to unsubscribe them.
Once viewings, feedback & offers is enabled in your Keyflo settings, there will be a Keyflo section in Alto's Preference Centre on each contact (client) record. The Viewing Notifications preference will have a thumbs up by default.
(As these are service emails and aren't marketing emails or anything to do with your client's marketing preferences, they are displayed separately and upfront permission is not needed)
To stop a contact (client) from receiving these emails:
- Click Contacts on the main navigation bar
- Select the relevant contact from Recent & Favourite Contacts
- Alternatively, find the contact using the Search Contacts bar in the top right
- Click Contact on the side menu
- Click the Preference Centre top tab
- Click the thumbs down
- Click Save
Contacts (clients) that are unsubscribed will still have access to the Viewings and Offers tabs in Keyflo - this just stops the viewing email notifications from being sent.

- Will existing PropertyFile data migrate to Keyflo?
Yes. When the Keyflo Viewings and Sales Progression modules are activated, relevant property activity such as recent viewings and progression milestones will become visible in Keyflo.
