Adding, completing and cancelling sales progression milestones (tasks)

A group administrator can add and remove progression milestones for buyers, vendors and lettings. These milestones appear in the sales progression checklist for all future property purchases and you can advance them through to completion.

Alternatively, if you want to add a progression milestone for a property on an individual basis (rather than the more global approach above), you can add a custom task directly to its sales progression checklist.

Progression milestones can be completed or cancelled at any point if they’re not required.

Adding (global) progression milestones for buyers, vendors and lettings

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Group Settings
  5. Scroll down and click either Owner Progression (Vendor), Buyer Progression (Purchaser) or Lettings Progression

On these pages, you can enable any milestones you want to use which are currently inactive (not ticked in the Selected column) or add a completely new milestone. 

  1. To add a new (global) progression milestone, click Add New Code
  2. Enter the relevant information in the Name, ShortName and Description fields
  3. Click Create

 Note

  • We recommend you avoid editing any active milestones since it will change those which are already in use and may be part of ongoing progressions
  • Any newly created or amended milestones will apply to all future progressions. Progressions which are already in progress will remain as they are

Adding (individual) progression milestones by creating custom tasks

If you'd rather add a progression milestone for a property on an individual basis (rather than the more global approach above), you can add a custom task directly to its sales progression checklist. 

Custom tasks can be added in any one of two ways, either from Progressions or from Properties.

Adding a custom sales progression task from Progressions
  1. Click Progressions on the main navigation bar
  2. In the dropdown menu, click NEW Sales progressions
  3. You can filter the sales by Branch, Conveyancer, Sales Progressor or Status if you need to narrow down the number of sales listed. Click View full progression alongside the relevant sale in the list
  4. In the Transaction Management section, click the Vendor or Purchaser tabs to list the progression milestones that are to be completed during the sale process

     Note

    You may notice some progression milestones have an icon alongside them:

    Complete milestone.png - the progression milestone displays in green with an icon indicating it's complete

    Overdue milestone.png - the progression milestone displays in red with an icon indicating it's overdue

    Automated milestones - If a conveyancer has been referred, or, a case has been opened with a conveyancer, whenever they update their CMS (Case Management System) with important milestones, they're automatically sent to Alto for your visibility (signified by the below Live milestone updates icon), speeding up your sales progression

  5. At the bottom, click + Add Custom Task

  6. The Custom Task window opens. The Status of the task is currently Pending as it's new, but you can amend it if required
  7. In the Details section, type a Description of the custom sales progressions task
  8. If required, in the Assigned To dropdown menu, click a name to reassign the task to someone else
  9. Target/Due Date for the task can be entered, or selected using the calendar. Change it, if necessary
  10. If required, the task can be given a Priority. In the dropdown menu, click LowNormal, or High
  11. Type in any additional Notes
  12. Click Save

The new custom sales progressions task appears at the bottom of the tasks list, and can be progressed like any other progression milestone.

Adding a custom sales progression task from Properties
  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Sales Progression
  5. In the Transaction Management section, click the Vendor or Purchaser tabs to list the progression milestones that are to be completed during the sale process

     Note

    You may notice some progression milestones have an icon alongside them:

  6. At the bottom, click + Add Custom Task

  7. The Custom Task window opens. The Status of the task is currently Pending as it's new, but you can amend it if required

Completing sales progression milestones

Regardless of whether your progression milestones are global or if you've added some individually as custom tasks, you can mark them as complete in the same way.

  5. Alongside the relevant milestone that is to be progressed, either click No date set, or, the date
  6. A task window opens. Click Complete to change the Status of the task.

    he Completed date will default to todays date. You can amend this by overtyping it, or, by selecting the relevant date using the calendar
  7. Type in any additional Notes to keep your colleagues appraised of the progress
  8. Click Save

If the sales progression milestone is In Progress, it will be coloured orange to indicate this in the list.

It will also be shown dated, with a tick alongside, to show that it's no longer outstanding. The Progress meter will increase by a percentage accordingly.

Cancelling sales progression milestones

Regardless of whether your progression milestones are global or if you've added some individually as custom tasks, you can cancel them at any point if they’re not required.

  5. Alongside the relevant milestone that is to be cancelled, either click No date set, or, the date
  6. A task window opens. Click Cancel
  7. Click Yes - Cancel This Task when asked if you wish to proceed

In the sales progression checklist, the milestone will then be marked as Cancelled.

  6. Alongside the relevant milestone that is to be cancelled, either click No date set, or, the date
  7. A task window opens. Click Cancel
  8. Click Yes - Cancel This Task when asked if you wish to proceed

In the sales progression checklist, the milestone will then be marked as Cancelled.
