Alto Smart Listings - adding media to a property

Once you've added property details to a property by sending a property questionnaire, you'll need to add further information to the property record in preparation for it going on the market. 

The simplest way of doing so initially is by using our property workflow, which helps you manage properties through the lifecycle of a transaction.

The second step focuses on adding media to the property.

 Note

The AI powered features available when adding media via property workflow - including auto categorisation and AI captions - are included within Alto Smart Listings, part of Alto Intelligence - Alto’s suite of AI capabilities

Adding media to a property via property workflow

After Property details have been added, the second step involved in Pre-marketing of the property is to add media to the property.

The media could be photos, floorplans, external brochures, virtual tours, and/or web links.

When adding media via property workflow, Alto Smart Listings can automatically categorise images and generate AI powered captions to help speed up property marketing.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. All properties will have a Prepare Property banner at the top of the page. Click Upload below Manage media to open up the property workflow and land on the Pre-marketing tab
  4. In the Compile listing section you have Media - click Edit section to expand the details
  5. Here, you can use our AI powered media uploader to manage all your media items from one place.
    Click, drag and drop photos, floorplans and brochures into the window to upload them, or, select choose from folder to locate them on your computer or network
  6. The media items then display in the window. Toggle on Organise and caption with AI if you want to auto-categorise media by type (i.e. AI can identify a floorplan image and drop it into the correct section automatically) as well as auto-label images with AI generated captions. Then, click Upload
    1. With the media added and categorised, you can then click and drag to reorder them, use the pencil icon to rename them if necessary, or select Rotate to adjust the orientation
  7. To add virtual tours and web links, click Add a link
  8. For virtual tours, type in a Description to identify and accompany the tour, and paste the URL of the third party website such as YouTube or Vimeo. Finally, select the Type as Video 
    Web links are used to add a link to another site when uploading a property to the portals. For example, if you were uploading a new build home, you might want to link the developers site. Type a Description of what the link is, and paste the URL of the site. Finally, select the Type as Other
  9. Click Save and close

 Note

  • Photos in any of the following formats can be uploaded - .jpg, .jpeg, .png up to 15mb. 
    We suggest using a 3:2 aspect ratio. This means your images are fully displayed without cropping on the portals.
    To capture 3:2 photos, select 3:2 aspect ratio in your camera settings - this can be found under ‘image size’ or ‘image quality’. (Some cameras may label this option as "2:3" or "1.5:1"). If 3:2 is unavailable, an alternative you could use is 4:3. Then, shoot in landscape by holding the camera horizontally
  • Floorplans in any of the following formats can be uploaded - .jpg, .jpeg, .png up to 15mb
  • Brochures in the following format can be uploaded - .pdf up to 30mb

 


With Media added, you'll now want to move on to adding the Pricing details.

Changing media for a property via the property record

Alternatively, if you prefer to manage media using the original property record method rather than via property workflow, you can add and manage media directly from the property record.

The media could be photos, floorplans, external brochures, virtual tours, and/or web links.

Adding photos to a property via the property record

 Note

Images should be .jpg files and we suggest using a 3:2 aspect ratio. This means your images are fully displayed without cropping on the portals.

To capture 3:2 photos:

  1. Select 3:2 aspect ratio in your camera settings - this can be found under ‘image size’ or ‘image quality’. (Some cameras may label this option as "2:3" or "1.5:1") 
    If 3:2 is unavailable, an alternative you could use is 4:3
  2. Shoot in landscape by holding the camera horizontally
  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Media on the side menu
  4. The property workflow opens and lands on the Media section of the Pre-marketing tab. If prompted with Media has been enhanced, but you can choose to use the old version, click use the old version
  5. Click the Photos top tab
  6. Click Upload Photos
  7. Click Add Files
  8. Photos can be added individually or all together - select the relevant one(s) and click Open, or, click, drag and drop them into Alto
  9. Click Start Upload
  10. Click Save

You can hover over each photo and click Zoom to view the photo full size, or click Delete to remove it.

Individual photos can also be linked to rooms if you click Link to a Room.

To rename a photo, overtype the text below the photo to amend it.

Changing the order of photos

It's important to include good quality photos and add them in a logical order on your property record, so that you can achieve the best possible marketing for your vendor or landlord.

You're able to rearrange the order that a property's photographs appear in brochures and also on the portals.

The first photo in the order should be the Main Photo that you want to use to market the property.

  1. Click, drag and drop the photos around until they appear in the order that you wish for them to display in the property's brochure
  2. If you want the order of the photos to be the same on the portals, click mceclip0.png
    1. Alternatively, click Web. Click, drag and drop the photos around until they appear in the order that you wish for them to display on the portals
  3. Click Save

Adding floorplans to a property via the property record

You can add multiple floorplans if you haven't done so already.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Media on the side menu
  4. The property workflow opens and lands on the Media section of the Pre-marketing tab. If prompted with Media has been enhanced, but you can choose to use the old version, click use the old version
  5. Click the Floorplans top tab
  6. Click Upload Floorplans
  7. Click Add Files
  8. Floorplans can be added individually or all together - select the relevant one(s) and click Open, or, click, drag and drop them into Alto
  9. Click Start Upload
  10. Click Save

If you want to remove a floorplan, hover over the relevant one and click Delete. Then, click Yes to confirm.

To rename a floorplan, overtype the text below the floorplan to amend it.

Adding PlanUp floorplans to a property via the property record

If you use PlanUp to produce your floorplans, you can import these directly into Alto along with the room details, if applicable. 

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Plan Up Import
  5. The Plan-Up Import window opens. In the Plan Id field, add the ID number from PlanUp and click Search
  6. Click Import
  7. Click Save

Adding external brochures to a property via the property record

If you have external .pdf versions of property brochures, you may want to add them to the property record for ease of access if you haven't done so already.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Media on the side menu
  4. The property workflow opens and lands on the Media section of the Pre-marketing tab. If prompted with Media has been enhanced, but you can choose to use the old version, click use the old version
  5. Click the External Brochures top tab
  6. Click Upload Files
  7. Click Add Files
  8. Locate and select the file(s) and click Open, or, drag it/them into Alto
  9. Click Start Upload
  10. Click Save

Once uploaded, you can set the brochure as the default brochure for the property. To do this:

  1. Move your mouse over the document icon and tick Set as default brochure
  2. Click Save

Adding virtual tours to a property via the property record

If you haven't done so already, you can add a video tour of the property using a link to a third party website such as YouTube or Vimeo.

 Note

Before following this process you will need to:

  • Record the video tour.  The recommended format is .mp4
  • Upload the video to a third party site, i.e. YouTube or Vimeo
  • Make the file/video publicly accessible
  • Copy the URL for the video
  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Media on the side menu
  4. The property workflow opens and lands on the Media section of the Pre-marketing tab. If prompted with Media has been enhanced, but you can choose to use the old version, click use the old version
  5. Click the Virtual Tours top tab
  6. Click Add Links
    1. If you wish to remove an existing virtual tour, you can do so. Click Delete
  7. Type in a Description to identify and accompany the tour
  8. In the Url field, paste the URL of the site that hosts the virtual tour
  9. Click Save

Adding web links to a property via the property record

If you haven't done so already, you may want to add a link to another site when uploading a property to the portals. For example, if you were uploading a new build home, you might want to link the developers site. 

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Media on the side menu
  4. The property workflow opens and lands on the Media section of the Pre-marketing tab. If prompted with Media has been enhanced, but you can choose to use the old version, click use the old version
  5. Click the Web Links top tab
  6. Click Add Links
    1. If you wish to remove any existing web links you can do so. Click Delete
  7. In the Description field, type a description
  8. In the Url field, paste the URL of the site
  9. Click Save
