Alto has upgraded it's E-Sign functionality to tighten compliance standards and improve security and auditability of document signing workflows.
This update sees our E-Sign functionality move away from our legacy eSign that's built into PropertyFile, to a robust, future-ready system.

The new and enhanced E-Sign functionality integrates seamlessly into your current workflows and provides the following features:

- Streamlined Workflow: The process includes advanced functionality, including text and check boxes, and offers real-time tracking of document progress within the Alto Timeline
- Efficiency: This update reduces reliance on third-party tools and automates administrative tasks, streamlining your processes
Pricing structure
Our legacy eSign product (which was offered free of charge) has been retired across the industry as it no longer meets current security standards.
The new E-Sign operates on a usage-based model as part of your Alto subscription.
- Alto Standard: On this subscription, you can send 5 envelopes per user, per month, and the allowance is shared across your users (i.e. 10 users = 50 envelopes). The allowance resets each calendar month - unused envelopes aren't rolled over. There will be a charge of £0.80+VAT for each additional envelope sent per month that exceeds the monthly allowance
- Alto Elite: On this subscription, you can send an unlimited number of envelopes per user, per month
Enabling E-Signing of documents
This functionality will first need to be enabled in order for you to send documents for review and signing via E-Sign. This will also then enable your contacts (clients) to submit feedback if necessary, as well as download the document.
Note
By enabling E-Sign you are agreeing:
- you’re authorised to enable this feature for your group
- usage may incur charges
To enable this functionality at group level, Group Administrators can use the Keyflo option in the Tools dropdown menu to toggle it on.
- Click Tools on the main navigation bar
- In the dropdown menu, click Keyflo
- In the Documents section, toggle on Enable E-Sign
- You can use the menu to determine if you want to enable E-Sign for All branches, or individual branches
Note
If at a later point you want to disable E-Sign, you can return to the settings and switch the toggle off
Once activated, you'll be able to select your documents as usual, selecting the relevant property and contacts, and sending it as an E-Sign document.
Your contacts (clients) will receive an email inviting them to review the document through Keyflo. Once they're logged in to Keyflo, they'll be able to read all documents, and will have the option to accept or decline the document, as well as provide feedback. Once the document has been signed by all parties, it will be available for them to view and download through the Documents section in Keyflo.
You'll be able to track the progression through eSignatures on the Home screen side menu, allowing you to resend, chase, or void the document. You will also have access to the full audit trail of the document including emails and reminders sent.

FAQs
What is an envelope?
Think of an envelope like an email. You can include one document or multiple documents in an envelope and send to one recipient or multiple recipients. Each time you send a document or set of documents out for E-Signing in a single email, that send is considered one envelope.
Will my existing eSign templates work with the new E-Sign?
Yes they will. There is no need to make any changes to your document templates if you are happy with them as they are.
Does the new E-Sign have any additional functionality?
The new E-Sign introduces clickable checkboxes and custom text boxes to your E-Sign documents, so you can now collect additional information from your customers when sending out signable documents.
