Customising your letter templates ready for E-Signing

E-Sign allows your contacts (clients) to sign documents online. Your agency is able to manage the progress of your E-Sign documents, view completed documents, as well as provide an audit trail and real-time tracking in the corresponding Timeline

Adding E-Sign text and check boxes to your letter templates

E-Sign introduces clickable checkboxes and custom text boxes to your E-Sign documents, so you can now collect additional information from your customers when sending out signable documents.

Adding E-Sign merge codes to your letter templates

To set your letter templates up to be used with E-Sign, you need to add specific merge codes to your new or existing letter templates.

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under App Tools, click Letter & Stationery Templates
  4. Click the Letter Template you want to edit for E-Sign
  5. The Letter Template opens. Position your cursor in the area of your letter template where you’d like the E-Sign merge code to appear. Either click Merge code on the toolbar, or, press on your keyboard
  6. The merge code search box opens. Type esignature to view the available esignature merge codes - a description identifying more details of each merge code appears with each code
    1. #esignature_guarantor#
    2. #esignature_landlord#
    3. #esignature_tenant#
    4. #esignature_vendor# 
  7. Click on your required merge code. It will now appear in the position of your cursor on the template.

  8. Click Save 

Each esignature merge code forms a block of contacts, for example, when the #esignatures_tenant# is included in a document, the document will return ALL the respective tenants on the tenancy.

 Note

If your letter template contains a table, make sure that you’re putting the merge code outside of the table, or remove the table completely
