Managing E-Sign documents from the home screen

All E-Sign documents sent via Alto can be managed from both the ESignatures Dashboard widget and eSignatures on the Home screen side menu. 

All activity is itemised to help you manage and track the status of every document sent for electronic signature, and if an esignature has been completed or needs to be resent.

ESignatures Dashboard widget

The Dashboard includes an ESignatures widget which is split into two parts.

1. Click the Alto Logo (Home tab) on the main navigation bar
2. Click Dashboard on the Home screen side menu
   1. You may want to click the Branch and Negotiator dropdown menus to change your view
3. Scroll down to the ESignatures widget
   1. Awaiting Signature - Displays as a donut chart offering a breakdown of how many documents are awaiting signature. Hover over each section of the chart to view the total number and percentage of each status awaiting signature
   2. Signing Requests by Status - This displays each status and their respective amount; Awaiting Signature, Completed, Voided and Expired. Use the dropdown menu to adjust the time period for the various view statistics. They include:
      • Sent In The Past 24 Hours
      • Sent In The Past 48 Hours
      • Sent In The Past Week
      • Sent In The Past Month
      • Sent In The Past 3 Months

By clicking anywhere on the ESignatures donut chart or on a status, you will be directed to the eSignatures page on the home screen side menu.

You can also manage the status of your E-Sign documents from eSignatures on the Home screen side menu.

1. Click the Alto Logo (Home tab) on the main navigation bar
2. Click eSignatures on the Home screen side menu
   1. You may want to click the Branch and Negotiator dropdown menus to change your view
3. Use the dropdown menu to adjust the time period for the various view statistics. They include:
   • Sent In The Past 24 Hours
   • Sent In The Past 48 Hours
   • Sent In The Past Week
   • Sent In The Past Month
   • Sent In The Past 3 Months
4. The ESignature Stats For ..... section displays statistics for your chosen period
5. In the Awaiting Signature Signing Requests For ..... section, you can view:
   1. Sent - Displays the date, time and user who sent a document for E-Signing
   2. Document - Displays the title of the document sent for E-Signing
   3. Property - Displays the corresponding property which relates to the document sent for E-Signing
   4. Follow-up Actions - You can
      • View Audit Trail
      • Resend All (Resend to all unsigned recipients)
      • Void Document 
   5. Signatories - Displays the recipients who were sent the document for E-Signing
   6. Recipient Type - Displays the current status type of the recipients i.e. Landlord, Tenant, Vendor 
   7. Status - Displays the current signing status of each recipient 
   8. Date Signed - Displays the date and time the individual recipient completed their E-Signature
   9. Follow-up Actions - You can
      • Add Phone Note - Records a note on the Timeline of the Contact record
      • Send Email - Records an email and its contents on the Timeline of the Contact record 
      • Send an SMS - Records an SMS and its contents on the Timeline of the Contact record
      • Add a Todo - Creates a task for you to manage on the Dashboard for the recipient
      • Resend - The document is resent to the recipient for E-Signing
