Setting up E-Sign authorised signatories

When you're at the point of finalising and sending a document for E-Signing, there's an option for Agent Signing which lets you specify an agent to sign a document on behalf of a landlord. These agents are known as authorised signatories.

If your agency is going to be signing on behalf of landlords, you'll need to set your staff up as authorised signatories, giving them authority to do so. 

Enabling the permission for Group Roles

First, you'll need to add the permission ElectronicSigning to the relevant Group Role(s).

 Note

You will need access to System Administration, to edit your Group Roles settings. Your appointed Group Administrator will have access to these permissions

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Group Roles
  5. Click Edit next to the relevant Group Role
  6. Scroll down and select the relevant level of access (Read/Write, Full) alongside ElectronicSigning
  7. Click Save

Enabling the Authorised Signatories

With the permission sorted, you can now configure the individual staff users who will be authorised signatories.

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Group Users
  5. Search for the user in the Search bar, filter by Status and Branch (if required)
  6. Click Edit next to the user you want to permit as an authorised signatory 
  7. Scroll down and tick Authorised Signatory
  8. A warning message appears, click OK
  9. Click Save

 Warning

It's important the Authorised Signatory is aware that if a user selects for them to sign on behalf of a landlord and is not properly authorised to do so, the person named as Authorised Signatory may be personally liable for any obligations under those contracts


Disabling Authorised Signatories

  1. Click Tools on the main navigation bar
  2. In the dropdown menu, click Templates and admin
  3. On the side menu, under System Tools, click System Administration
  4. Click Group Users
  5. Search for the user in the Search bar, filter by Status and Branch (if required)
  6. Click Edit next to the user you want to disable as an authorised signatory
  7. Scroll down and untick Authorised Signatory
  8. Click Save
