The applications stage of the new lettings progression journey is where you can record the details of any applicants interested in a property.  Recording an application here does not guarantee the application will be progressed - you will be able to choose which application to progress at the end of the application stage.

Alto's new lettings progression journey is under development. Whilst every effort has been made to ensure the accuracy of the above video, there may be small differences between what is shown and the current process. Be assured we will be regularly reviewing our content around the new lettings progression while development continues to ensure it remains as up to date as possible at all times. The step-by-step written instructions below do reflect the most recent updates in the process.

Create an application

A tenancy progression now starts right after a property is instructed and listed as available. To create a new application against a property:

  1. Head to the New Lettings progression by selecting either the Progressions tab in the main navigation bar, then clicking Lettings progressions beta or by simply selecting the Progressions tab on the property side menu
  2. Find the property you need to add an application for and click on the address to open the property progression.  
    1. Be aware that only properties that are available on the market and do not have an ongoing progression in the classic lettings progression journey will appear in this list.  
  3. Select Add new application
  4. Search for a lead tenant or create a new contact
    1. Creating a new contact will take you out of the progression.  After creating the new contact record, you will need to repeat steps 1 and 2 above.
  5. Click Create Application

This will create an application linked to the property. You can record multiple applications at this stage if needed.

 Warning

The new lettings progression journey only supports one person per contact record. If you have more than one landlord for the property or tenant on the application, they will each need to be set up with a separate contact record.

Add the application terms

Once an application has been added, you can add the terms to record the rental amount and deposit being offered and the duration of the tenancy.

  1. Return to the progression for the property by following step 1 above.  You will see all applications associated with the property listed.
  2. Click View next to the application you want to add terms to to continue
  3. Click Add terms to set up the application terms
  4. Add the relevant information in the tenancy terms, including monthly rental amount, deposit details, tenancy duration and desired start date.  
  5. Select the APT template you would like to use from the list of available documents.  You also have the option of including a holding deposit terms template if you wish to.
  6. Use the slider to specify if you wish to be able to sign on the landlord's behalf.
  7. Click Create terms to continue
  8. The progression will now sit in the applications stage

Add a guarantor (optional)

With the new lettings progression journey, it's now easier than ever to add a guarantor to an application.  From the property's progression screen;

  1. Click View next to the application you wish to add a guarantor to
  2. Click the Guarantor option under the tenants name on the right hand side
  3. Enter the guarantor's details.  If you want to add more than one guarantor you can use the Add guarantor button to add a second person.

 Note

You can also add additional tenants or permitted occupiers to the application here in exactly the same way - just select the contact type you want to add from the available buttons.  Remember, each person must have their own contact record in Alto.

Accept an application

Once a decision has been made on which application to accept, you will need to mark it as accepted in order to begin the next stage. From the property's progression screen;

  1. Click View next to the application you wish to accept
  2. Click Accept Application 

This completes the application stage of the progression and moves the status along to Let Agreed.
