NEW Lettings progressions: Referencing

The Referencing stage is where the tenant's identity is verified. Most of this stage sits with the tenant, who completes their referencing checks (via Keyflo), and you approve or reject the ID documents they submit.

Tenant referencing

Once the holding deposit has been receipted, the tenant automatically receives an email inviting them to complete their referencing checks (via Keyflo).

Once the tenant clicks Go To Keyflo in their email, they'll need to confirm their email address. They'll then receive another email containing a magic link (valid for 15 minutes) which they can use to Login and access their Keyflo account.

Once the tenant is logged in, they'll be prompted about a Progress rental task they have - upon selecting Start, followed by Get started, they'll be asked to complete background checks by providing:

  • Nationality
  • Identity document type (for example, passport or ID card)
  • Identity document expiry date
  • A photograph of their identity document
  • Full name
  • Current address
  • Forwarding address

Once the tenant has submitted their id and personal details, they can then check the status of their application from the Application overview tab in Keyflo

Approve or reject tenant ID documents

Once the tenant has submitted their documents, you review them in Alto and either approve or reject the reference check.

  1. Click Progressions in the main navigation bar, then click NEW Lettings progressions in the dropdown menu. Alternatively, click the Progressions tab on the property side menu
  2. Find the property you need and click the address to open the property progression
  3. Click View next to the relevant application
  4. Click the thumbnail images of the ID document to view them
  5. Click Approve or Reject for the reference check

Alternatively, should you use one of Alto's tenant referencing partners, you can click Send to referencing partner to send the tenant's details and document images to them from here.

If you approve

  1. Click Continue to confirm the tenant has passed referencing checks and that you or the landlord have approved them

If you reject

  1. Choose one of the following, then click Proceed:
    1. Delete tenant - Deletes the tenant from the tenancy case. If it's the lead tenant, this declines the whole tenancy
    2. Request guarantor - A guarantor will be asked to join a guarantee for this tenant

To request a guarantor without rejecting

  1. Click the ... alongside the Approve and Reject options, then click Request guarantor. Add the Guarantor details and click Submit

 Note

The checks recorded here are your tenant referencing checks only. OFSI, Right to Rent, and AML checks (where needed) are recorded separately via the contact records of all applicants

Approving the reference check completes the Referencing stage and moves the progression on to Contract, where the tenancy agreement is sent for signing.
