Once a successful applicant has been chosen, the next step is the Let Agreed stage. In this stage you will send out the draft tenancy agreement, holding deposit terms, and will take payment of the holding deposit (if applicable).

Alto's new lettings progression journey is under development. The step-by-step written instructions below do reflect the most recent updates in the process.
Prepare the draft documents
- To find a progression, start by selecting the progressions tab in the main navigation bar, then click ‘lettings progressions beta’, or simply select the progressions tab on the property side menu, then, find the relevant progression in the list
- The next step is to edit and finalise the draft tenancy agreement, ready to be sent out to the applicant. Click Edit draft tenancy agreement. This will open in a new tab.
- Check the agreement has been generated correctly and make any adjustments you need.
- Once you’re happy, select the Finalise button in the top right hand corner.
- Return to the tab your progression is open in. If you have chosen to send holding deposit terms, you can also now edit and finalise these.
- Click Edit holding deposit terms
- Check the terms are correct and make any adjustments you need.
- Once you are happy, click the Finalise button in the top right hand corner.
Send the draft documents and holding deposit request to the tenant
- Return to your progression
- Click Invite Tenants to send the draft tenancy agreement and request the holding deposit
- Check the bank details shown are correct.
- If you spot any discrepancies in your bank details, you can click Change bank account details to edit them. Note that this will take you to your system admin settings and you will need administrator permissions to make changes. You will need to navigate back to your progression and click Invite Tenants again to pick up where you left off once the bank details have been changed.
- Click Invite tenants again to confirm you are happy and send the email invite to the tenant.
- The tenant will then receive an email inviting them to sign into Keyflo via a magic link. The tenant enters their email address, before opening the link in the subsequent email to log in. They will not need a password to do this.
- Once the tenant has logged into Keyflo, they can view the tasks that they need to complete to progress the tenancy
- The tenant is required to confirm that they have read the tenancy agreement and the holding deposit terms before sending the holding deposit sum via bank transfer. Once payment has been made, the tenant clicks ‘mark as paid’
Receipt the holding deposit
- Return to your progression
- Click Create a receipt to confirm the holding deposit has been received and generate a receipt for the tenant
- Check the details match what has arrived in your account and click Confirm.
- The transactions section of the tenancy record will be updated to show the holding deposit has been receipted.
This completes the Let Agreed stage of the progression and moves the status along to Referencing.
