The Let Agreed stage is where you send the draft tenancy agreement and holding deposit terms to your chosen applicant, and take payment of the holding deposit where applicable.
Once the holding deposit has been receipted, the progression moves on to Referencing.
Prepare the draft documents
- Click Progressions in the main navigation bar, then click NEW Lettings progressions in the dropdown menu. Alternatively, click the Progressions tab on the property side menu
- Find the relevant progression in the list and click the address to open it
- Click View next to the application you want to prepare draft documents for
- Click Edit draft tenancy agreement. The agreement opens in a new tab
- Check the agreement has generated correctly and make any adjustments you need. Then, click Finalise in the top right-hand corner, then Yes to confirm
- You'll then be returned to the tab your progression is open in
Where you're sending holding deposit terms, finalise these too:
- Click Edit holding deposit terms. The terms open in a new tab
- Check the terms have generated correctly and make any adjustments you need. Then, click Finalise in the top right-hand corner, then Yes to confirm
- You'll then be returned to the tab your progression is open in
Send the draft documents and holding deposit request to the tenant
You can now invite the tenant to view the draft tenancy agreement and pay the holding deposit (if applicable).
The draft tenancy agreement provides an early view of the contract to the tenants that will not be signed.
You will share the final tenancy agreement at the Contract stage for signing.
- Click Progressions in the main navigation bar, then click NEW Lettings progressions in the dropdown menu. Alternatively, click the Progressions tab on the property side menu
- Find the property you need and click the address to open the property progression
- Click View next to the relevant application
- Click Invite Tenants to send the draft tenancy agreement and request the holding deposit (if applicable)

Ensure you're happy with the payment information shown before inviting the tenant(s) as once the tenants have been invited, you'll no longer be able to make any changes to the draft tenancy agreement, holding deposit terms or holding deposit amount. Click Invite tenants to proceed

If any of the bank details are incorrect, click Change bank account details to edit them. This takes you to your System Administration settings where your Group Administrator can make changes. Once updated, return to your progression and click Invite tenants again to pick up where you left off
- The Application overview will update to Tenant action required
The tenant(s) will be invited to complete their actions (via Keyflo). Alto sends the tenant an email notifying them they have a task to complete.
Once the tenant clicks Go To Keyflo in their email, they'll need to confirm their email address. They'll then receive another email containing a magic link (valid for 15 minutes) which they can use to Login and access their Keyflo account.
Once the tenant is logged in, they'll be prompted about a Progress rental task they have - upon selecting Start, they'll be prompted to confirm they've read the draft tenancy agreement and reviewed the holding deposit terms. The tenant can then send the deposit by bank transfer, and once paid, they can click Mark as paid.
Receipt the holding deposit
Once the lead tenant has marked that they have paid the holding deposit to your branch bank account, you must mark the payment as received.
- Click Progressions in the main navigation bar, then click NEW Lettings progressions in the dropdown menu. Alternatively, click the Progressions tab on the property side menu
- Find the property you need and click the address to open the property progression
- Click View next to the relevant application
- You'll have the option to click Create a receipt to confirm the holding deposit has been received and generate a receipt for the tenant in the tenancy's accounting. You can also click Don't create a receipt if the receipt already exists
- Check the details match what has arrived in your account, then click Confirm
The tenant will then receive an email informing them a receipt has been added to their account.
Back in Alto, the Transactions section of the tenancy record updates to show the holding deposit has been receipted.
This completes the Let Agreed stage and moves the progression on to Referencing, where the tenant's identity is verified.
