Making an offer on a property

Within Alto, you can enter an offer that's been received from a prospective purchaser or tenant on a property.

Recording offers accurately ensures that vendors and landlords are presented with the correct details, maintains a clear audit trail of negotiations, and supports the creation of downstream sales and lettings documentation where applicable.

The offer can be made from the Make an Offer screen which can be accessed in any one of three ways, either from the Dashboard, from Properties, or from Contacts (the applicant).

 Note

Whichever method is followed, in every case, appropriate tasks will be created in the Tasks widget of the Dashboard to ensure that the offer is handled accordingly

Making an offer on a sales property

Entering an offer received from a prospective purchaser via the Dashboard
  1. Click the Alto Logo (Home tab) on the main navigation bar
  2. Click Dashboard on the Home screen side menu
  3. In the Tasks widget, click Viewings
  4. In the list, find the entry that relates to the applicants appointment to view the property and click Viewing
  5. The Viewing window opens. Click Make an Offer
  6. A message appears, asking "Make an offer on this property using the details from this viewing?". Click Yes
  7. The New Offer window opens. In The Offer section, enter the price offered. Alternatively, move the slider to indicate the percentage of the marketed price being offered

  8. Type any relevant information into the About the Offer, About the Chain, Fixtures & Fittings, Mortgage/Financial Notes, and Estimated Dates fields. This information will automatically feed to the Memorandum of Sale, ensuring that solicitors, buyers, and sellers receive accurate agreed terms once the offer is accepted
  9. Click Save
    1. If you've set up reminders/warnings to order verification checks, if the contact (client) hasn't had their ID and AML checks completed, you'll see the following reminder. In these situations, along with the reminder, there will also be a button to Order checks.

  10. If you've not set up reminders/warnings to order verification checks, or if the contact (client) has already had their ID and AML checks completed, at this point you may be given the opportunity to create and generate the appropriate letters relating to the offer. Tick which letters you wish to generate and click Open Letters Now.

    They can then be edited, finalised and sent like any other letter

Don't forget to use the filter(s) if you cannot find the viewing in the Tasks list

Entering an offer received from a prospective purchaser via Properties
  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1.  Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Make an Offer
  5. The New Offer window opens. In the Applicant(s) section, start typing the applicants name in the search bar and click them when they appear
  6. In The Offer section, enter the price offered. Alternatively, move the slider to indicate the percentage of the marketed price being offered

The prospective purchaser must have been created as a contact before they can be searched for, in the New Offer window

  1. Click Contacts on the main navigation bar
  2. Select the relevant contact from Recent & Favourite Contacts
    1.  Alternatively, find the contact using the Search Contacts bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Make an Offer
  5. The New Offer window opens. In the Property section, start typing the property's address in the search bar and click it when it appears
  6. Enter the price offered. Alternatively, move the slider to indicate the percentage of the marketed price being offered

Entering an offer received from a prospective tenant via Properties

  5. The Applications stage of our new lettings progression journey opens, allowing you to record the details of any applicants interested in a property.
    Alongside New Application, select either Add with AI or Add manually.
