Archiving, finding and unarchiving a property

Archiving a property hides it from property searches by default, while keeping the record in Alto. You can find archived properties by including them in a search, and unarchive a withdrawn property if you need to return it to the market.

Not what you're looking for? Did you mean...

Archiving lots of properties at once? See Setting up and using Bulk Archive for contacts and properties. Taking a property off the market? See Withdrawing a property.

Archiving is useful for properties you're no longer marketing, such as completed sales, finished lets or duplicate records, so your property searches stay focused on current stock.

Which properties can be archived?

You can only archive a property when it has one of these statuses:

  • Completed
  • Externally Sold
  • Let
  • Withdrawn

To archive a property with any other status, change its status to one of these first. See Changing the status of a property.

 Warning

Only withdrawn properties can be unarchived. Completed and Let properties can't be unarchived, so to market them again you'll need to clone them instead - see Cloning an existing property

Archiving an existing property

Archive a property by changing its status to Archived from the property's Actions menu.

  1. Click Properties on the main navigation bar
  2. Select the relevant property from Recent & Favourite Properties
    1. Alternatively, find the property using the Search Properties bar in the top right
  3. Click Actions
  4. In the dropdown menu, click Change Status
  5. In the Set New Status section, in the New Status dropdown menu, click Archived
  6. Type in any relevant Notes
  7. Click OK

The property is archived and hidden from property searches by default. An entry is written to the property's Timeline.

Archiving a duplicate when adding a new property

When you add a new property with an address that already exists in Alto, you can archive the existing record as part of adding the new one, without leaving the screen. If the existing property isn't in an active status, you'll be given the option to Archive the existing property.

Archiving a market appraisal

A market appraisal that didn't lead to an instruction can be archived once it's set as Not Instructed.

  1. Open the appraisal record
  2. Click Actions
  3. In the dropdown menu, click Set As Not Instructed
  4. Click OK

 Note

If a message says a market appraisal has to be booked, go to the Appraisal > Post-Appraisal tab, enter the Proposed rent or sale amount and click Save, then continue below.

  1. Refresh Alto by pressing CTRL + F5 on your keyboard
  2. Click Actions
  3. In the dropdown menu, click Change Status
  4. In the Set New Status section, in the New Status dropdown menu, click Archived
  5. Type in any relevant Notes
  6. Click OK

Finding archived properties

Archived properties don't appear in property searches unless you choose to include them. To find an archived property:

  1. Click Properties on the main navigation bar
  2. Click the down arrow to the right of the Search Properties bar in the top right
  3. Tick the Archived box to include archived properties in the search results
  4. Find and select the property using the Search Properties bar

Unarchiving a withdrawn property

Unarchiving returns an archived property to Withdrawn status, so you can put it back on the market. Find the property first, as described in Finding archived properties above, then:

  1. Click Actions
  2. Click Unarchive
  3. Confirm any Board change details (if applicable)
  4. Type in any relevant Notes
  5. Click OK

The property's status returns to Withdrawn, and a new entry is written to the property's Timeline.

FAQs

  • Why can't I archive a property?

You can only archive a property with the status Completed, Externally Sold, Let or Withdrawn. Change the property's status first - see Changing the status of a property.

  • Can I archive or unarchive properties in bulk?

You can archive properties in bulk using Bulk Archive. There isn't a bulk unarchive option, so properties can only be unarchived one at a time.
