The Lettings performance dashboard provides a clear view of how your business is performing across the lettings lifecycle, from appraisal through to let.

It helps you understand conversion, activity, and performance across your branches within a selected date range.

We’re gradually replacing Alto’s Classic reports with the more insightful and flexible Analytics

Reports in Analytics are organised into dashboards. Each dashboard contains multiple tabs, with each tab displaying a collection of reports (charts, KPIs, and tables).

Accessing the Lettings performance dashboard

  1. Click Reports on the main navigation bar
  2. In the dropdown menu, click Analytics
  3. Click the Lettings performance dashboard

Once your dashboard is open, you can click the ellipsis (three dots) in the top right hand corner to:

  • Present dashboards in a clear, visual format for meetings
  • Schedule reports to be sent automatically to your inbox or team

Plus, you can hover over a chart, KPI, or table and click the ellipsis (three dots) in the top right hand corner to:

  • View underlying data to explore and export detailed information

What does this dashboard show?

The Lettings performance dashboard provides a structured view of your lettings performance, allowing you to:

  • Analyse performance across the full lettings lifecycle (appraisal to let)
  • Monitor conversion rates between key stages
  • Track activity levels such as viewings and appraisals
  • Review rental values and projected commission
  • Compare performance across branches

When would I use this dashboard?

You might use the Lettings performance dashboard to:

  • Review how well appraisals are converting into instructions and lets
  • Monitor activity levels such as appraisals and viewings
  • Identify where properties are dropping off in the lettings lifecycle
  • Understand reasons for lost instructions
  • Compare performance across branches

Tabs within this dashboard

Appraisals

Shows properties with an appraisal date within your date range filter.

  • Booked appraisals - Shows the total number of appraisals booked
  • Completed appraisals - Shows the total number of appraisals completed
  • Cancelled appraisals - Shows the total number of appraisals cancelled
  • Appraisal to instruction conversion rate - Shows the percentage of appraisals that have gone on to be instructed
  • Lead Source - Shows a donut chart demonstrating the lead source for any appraisals, where they have been recorded
  • Table breakdown of appraisals - Shows a table detailing all the appraisals represented in the dashboard, including links to the property records for ease of navigation

Instructions

Shows properties where the instruction status has changed within your date range filter.

  • Won instructions - Shows the total number of instructions that have been won
  • Average management commission % - Shows the average management commission rate as a percentage of the rental cost, where this information has been recorded on the property record
  • Total management commission £ - Shows the total anticipated commission value for properties with an instructed status
  • Management type - Shows a donut chart detailing the breakdown of management types across the instructed properties
  • Average rental amount (monthly) - Shows a bar graph detailing the average rental amount per property for each month (please note that where the dashboard is being filtered to show only one month's data, a single bar will appear on the chart)
  • Instructions won per month (last 12 months) - Shows a bar graph detailing the number of instructions won each month for the preceding 12 months, overlayed with a trend line showing the average monthly rental value for the instructions won each month
  • Average commission per month (last 12 months) - Shows a bar graph detailing the total projected income each month over the past 12 months, overlayed by a line showing the average commission percentage for the same period
  • Pending instructions - Shows the total number of instructions actioned in the time that are still pending
  • Lost instructions - Shows the total number of instructions for the time period that were lost
  • Reason for lost instruction - Shows the reasons for any instructions being lost, where these have been provided
  • Lost to another agent - Shows a breakdown of which businesses instructions have been lost to, where this is known
  • Table breakdown of instructions - Shows a table detailing all of the instructions represented in the dashboard with links to their property records for ease of navigation

Viewings

Shows properties with a viewing date within the date range filter.

  • Booked viewings - Shows the total number of viewings booked
  • Completed viewings - Shows the total number of viewings completed
  • Cancelled viewings - Shows the total number of viewings cancelled
  • Reason for cancellation - Shows the reasons for any viewing cancellations, where they are known
  • Table breakdown of viewings - Shows a table detailing all of the viewings represented in the dashboard, including the links to relevant contact and property records for ease of navigation

Let

Relates to properties let by new tenants, within your date range filter.

  • Completed new lets - Shows the number of rental properties that new tenancies have started for
  • Average rent of new lets - Shows the average rental value of your new lets
  • Average days on market -Shows the average number of days your new lets were on the market for
  • Management type for new lets - Shows a donut chart detailing the number of new lets with each different management type
  • Average rent by management type - Shows a bar graph detailing the average rental value of new lets
  • Let type - Shows a graph detailing the let type of all of your renewals, periodic and new tenancies, where the term date starts within your date range filter
  • Management by let type - Shows a graph detailing the management type of all of your renewals, periodic and new tenancies, where the term date starts within your date range filter
  • Breakdown of completed lets - Shows a table detailing all of your completed lets including links to property records

Branch comparison

Compares lettings performance across branches.

  • Completed appraisals per branch - Shows the total number of appraisals completed by each branch in a graph for easy comparison
  • Won vs lost instruction per branch - Shows the number of won and lost instructions for each branch in a graph to aid with drawing comparisons
  • Appraisal to instruction conversion rate - Shows the percentage of appraisals converting to instructions for each branch
  • Management type - Shows the number of properties with each management type for each branch
