The Property Management: Maintenance dashboard provides insight into open and completed works orders across your managed properties.
It helps property managers track maintenance activity, monitor performance, and analyse spend over time.

Reports in Analytics are organised into dashboards. Each dashboard contains multiple tabs, with each tab displaying a collection of reports (charts, KPIs, and tables).
Accessing the Property Management: Maintenance dashboard
- Click Reports on the main navigation bar
- In the dropdown menu, click Analytics
- Click the Property Management: Maintenance dashboard
Once your dashboard is open, you can click the ellipsis (three dots) in the top right hand corner to:
- Present dashboards in a clear, visual format for meetings
- Schedule reports to be sent automatically to your inbox or team
Plus, you can hover over a chart, KPI, or table and click the ellipsis (three dots) in the top right hand corner to:
- View underlying data to explore and export detailed information
What does this dashboard show?
The Property Management: Maintenance dashboard provides a structured view of your maintenance activity, allowing you to:
- Monitor open and completed works orders across your portfolio
- Identify long-running or delayed maintenance jobs
- Analyse maintenance performance by category, supplier, and property
- Track maintenance spend over time
- Support conversations with landlords around property costs and trends
When would I use this dashboard?
You might use the Property Management: Maintenance dashboard to:
- Identify maintenance jobs that have been open for a long time
- Monitor supplier performance and completion times
- Analyse maintenance spend across properties or categories
- Prepare reports for landlords on property maintenance costs
- Spot trends that could help reduce future maintenance spend
Tabs within this dashboard
Open works orders
Based on works order with a current open status and is not date bound. It excludes works orders with a status of Rejected, Cancelled and Complete Invoice Received.
- Open works orders - Shows the total number of works orders with an open status (excludes Rejected, Cancelled and Complete Invoice Received)
- On hold works orders - Shows the total number of works orders with an 'On Hold' status
- Complete works orders - awaiting invoice - Shows the total number of works orders with a 'Complete Awaiting Invoice' status
- Suppliers with most open works orders - Shows the top 10 suppliers with highest number of open works orders
- Priority and status of open works orders - Shows all open works orders split by priority and status (excludes Rejected, Cancelled and Completed Invoice Received)
- Duration of open works orders by priority - Shows the length of time a works order has been open, from the date it was reported
- Duration of open works orders by property and supplier - Shows the top 10 properties with the longest duration of open works orders
- Open works orders table
Completed works orders
Based on completed works orders, and is date bound. It covers works orders with a status of Complete Invoice Received.
- Completed and cancelled works orders - Shows the number of works orders with a completed, cancelled or rejected status
- Time to complete by category - Shows the top 10 categories of work with longest average days to complete
- Time to complete by supplier - Shows the top 10 suppliers with longest average days to complete
- Spend by category - Shows the total spend by category of work, in chosen date range
- Spend by properties - Shows the top 10 properties with the highest spend on works orders
- Spend by suppliers - Shows the top 10 suppliers with the highest spend, in the chosen date range
- Suppliers with most works orders - Shows the top 10 suppliers with the highest number of completed works orders, in the chosen date range
- Properties with most works orders - Shows the top 10 properties with the highest number of completed works orders, in the chosen date range
- Completed works orders table - Shows the details of all works orders with a 'Complete Invoicing Received' status, within your chosen date range
Branch comparison
Compares maintenance activity and performance across branches.
- Open works orders by branch - Shows the total number of works orders with an open status (excludes Rejected, Cancelled and Complete Invoice Received)
- Duration of open works orders by branch - Shows the length of time a works order has been open, from the date it was reported
- Completed and cancelled works orders by branch - Shows the number of works orders with a completed, cancelled or rejected status
- Time to complete by priority per branch - Shows the average number of days to complete work by branch
- Spend by category per branch - Shows the total spend by category of work, in the chosen date range
Portfolio tracker
Filter by landlord and date to get an overview of their portfolio spend on maintenance. This tab is based on completed works orders. It's date bound, so you can choose what date range you want to view your data in.
- Maintenance spend by category over time
- Maintenance spend by property and category over time - Shows a table whereby you can select a property to see a breakdown of category spend per month
