Standard Analytics - Property Management: Arrears dashboard

The Property Management: Arrears dashboard provides insight into money owed across your portfolio, primarily from rent arrears, as well as other outstanding charges.

It helps you monitor arrears, identify risk, and track how effectively debts are being recovered.

We’re gradually replacing Alto’s Classic reports with the more insightful and flexible Analytics

Reports in Analytics are organised into dashboards. Each dashboard contains multiple tabs, with each tab displaying a collection of reports (charts, KPIs, and tables).

Accessing the Property Management: Arrears dashboard

  1. Click Reports on the main navigation bar
  2. In the dropdown menu, click Analytics
  3. Click the Property Management: Arrears dashboard

Once your dashboard is open, you can click the ellipsis (three dots) in the top right hand corner to:

  • Present dashboards in a clear, visual format for meetings
  • Schedule reports to be sent automatically to your inbox or team

Plus, you can hover over a chart, KPI, or table and click the ellipsis (three dots) in the top right hand corner to:

  • View underlying data to explore and export detailed information

What does this dashboard show?

The Property Management: Arrears dashboard provides a structured view of arrears data, allowing you to:

  • Monitor total arrears across tenants, landlords, and suppliers
  • Identify tenancies currently in arrears and their value
  • Track how long debts have been outstanding
  • Analyse arrears by category, charge type, and tenancy status
  • Measure how quickly arrears are being collected

When would I use this dashboard?

You might use the Property Management: Arrears dashboard to:

  • Identify tenants or tenancies with overdue rent
  • Spot repeat late payers and assess risk
  • Monitor how effectively arrears are being recovered
  • Prepare evidence for legal action (e.g. Section 8 notices)
  • Review arrears trends and performance across branches

Tabs within this dashboard

Property Management: Arrears dashboard tabs

Tenancy arrears

Based on current arrears that are charged to the tenancy or tenant.

  • Total tenancy arrears - Shows the total value of current tenant and tenancy arrears
  • Tenancy charges not shown in arrears - Shows the value of tenancy charges set to 'Never show in arrears'
  • % of active tenancies in arrears
  • Number of tenancies in arrears - Shows the % of tenancies in arrears by status
  • Value of arrears by tenancy status - Shows the value of arrears for each tenancy status
  • Duration of tenancy arrears - Shows the value of arrears by age of debt
  • Map of tenancy arrears - Shows the location of arrears to help identify hot spots
  • Category of tenancy arrears - Shows the value of arrears by charge item
  • Current tenancy arrears - Shows a table breakdown of current tenant and tenancy arrears
  • Value of arrears (7 days or older) - Shows the total value of current tenant and tenancy arrears
  • Repeat late payers currently in arrears - A heatmap showcasing active tenancies that have made 2 or more late payments, 7 days or more from the charge date, within the last 12 months. (The size of the box represents the number of late payments, whilst the colour of the box indicates the level of current arrears. You can hover over each box to see more information. Right click to show underlying data and view or download the details of each late payment)
  • Tenancy arrears closed per month - Shows the number of arrears at 7 days or older, closed month on month
  • Average days to collect - Shows the average number of days taken to collect a debt that's 7 days or older

All arrears

Based on current arrears that are charged to an applicant, landlord, supplier, tenant or tenancy.

  • Total arrears - Shows the total value of current arrears
  • Charges not shown in arrears - Shows the value of charges set to 'Never show in arrears'
  • Duration of arrears - Shows the value of arrears by age of debt
  • Charge type - Shows a breakdown of arrears by type of charge such as landlord, property, supplier etc
  • Category of arrears - Shows the value of arrears by charge item
  • Current arrears - Shows a table breakdown of current arrears
  • Arrears closed per month - Shows the number of arrears at 7 days or older, closed month on month
  • Average days to collect arrears - Shows the average number of days taken to collect a debt that's 7 days or older

Branch comparison

Compares arrears performance across branches.

  • Total arrears per branch - Shows the total value of current arrears for each branch
  • Duration of arrears per branch - Shows the value of arrears by age of debt
  • Charge type per branch - Shows a breakdown of arrears by type of charge such as landlord, property, supplier etc
  • Category of arrears per branch - Shows the value of arrears by charge item
  • Average days to collect arrears per branch - Shows the average number of days taken to collect a debt that's 7 days or older
